Job Summary:

Reporting to the Director of the Recreational Sports Department (RSD), the Operations & Student Programs Coordinator oversees Equipment Desk operations including lockers and on-site laundry facilities. This position is also responsible for departmental programs including Welcome Weekends, Outdoor Adventures, Social Media and Special Events. The Operations & Student Programs Coordinator supervises approximately 35 student staff positions within the department including Equipment Desk staff, special event staff and trip leaders.

As a member of the Division of Student Life, the Operations & Student Programs Coordinator for the RSD collaborates and cooperates to create leadership and intercultural competence opportunities to support student learning and development in the Jesuit Catholic tradition. The mission of Student Life is to fully support holistic student development within a social justice framework centered in preparing students to be caring, socially responsible citizens in our global and local community.

Job Responsibilities:

? Oversee Equipment Desk operations and Equipment Desk student staff
o Recruit, hire, train, manage, evaluate and perform payroll for student staff positions at the Equipment Desk.
o Procure and maintain equipment desk items (towels, locks, sports equipment, etc.) and laundry supplies (detergent, etc.).
o Oversee on-site laundry facilities (washers/dryers), lost and found and lockers. Act as liaison between outside vendors and/or campus departments to maintain proper function of on-site washers, dryers and lockers.
o Work with the Assistant Director regarding policies and procedures regarding locker memberships, maintenance, repair and clearings (if applicable). Create signage to reflect current Equipment Desk policies and procedures for RSD staff and patrons.
o Work with the Assistant Director to develop a departmental staff in-service training, including incentives/rewards program, accountability for staff write-ups and ongoing emergency procedures training.
o Provide ongoing coaching and constructive feedback to staff. Evaluate staff per RSD evaluation policy procedures and time frame.
? Manage Outdoor Adventures and Welcome Weekends Trips
o Recruit, hire, train, manage, evaluate and perform payroll for student trip leaders.
o Develop, coordinate, and manage trips from conception to implementation. Collaborate with campus partners to provide Outdoor Adventure programming for USF students, staff and faculty. At the beginning of each semester, provide Welcome Weekend trips to engage and support incoming freshmen and transfer students.
o Manage event logistics including registration tools, attendee tracking, post-event evaluations, waivers, and event finances.
o Coordinate event day details such as transportation services and ticket purchases (if applicable).
o Develop working relationships with campus partners to market programs and increase student engagement and success.
o Design and distribute promotional materials including posters, social media, apparel, etc.
? Manage Social Media and University Calendar
o Research and coordinate all social media strategies for RSD. Use Facebook, Twitter, Instagram, Hootsuite and other social media tools to promote RSD programs and services to students, faculty, staff and community members.
o Manage University calendaring software to ensure that all departmental programs, services and classes are marketed to the campus community. Act in the capacity of Drupal Event Editor to create content, photos, descriptions and links to all RSD programming. Coordinate in-house photo shoots when necessary to create a resource folder of photos for RSD promotional materials.
o Monitor all RSD websites to keep content updated and relevant. Report outdated information to the Assistant Director for immediate correction.
? Coordinate RSD Special Events
o Act as the liaison between RSD staff, Events Management & Guest Services and event stakeholders to ensure successful special events for the department.
o Establish standardized event procedures and train staff to properly execute to support successful events for the department.
o Maintain the tracking and reporting of event metrics
o Coordinate event staffing, setup, access and special accommodations for all special events. Determine and coordinate equipment rental needs in advance (if applicable).
? Other Responsibilities
o Serve as the primary point person for responding to inquiries about student staff positions within the RSD. Direct applicants to the appropriate professional staff member depending on experience and certifications (if applicable).
o Serve on committees as assigned by the Director
o Participate in department/division activities including meetings and staff development.
o Perform other duties as assigned by the Director, Associate Director and/or Assistant Director.
o Evening and weekend hours required.

Minimum Requirements:

? Masters Degree in Recreation, Sports Management, Physical Education or other related field preferred. Bachelors degree in a related field required.
? A minimum 3-5 years working in recreation, operations, event planning or similar setting. Experience working effectively with diverse college student populations in an urban, multicultural environment.
? Exceptional interpersonal skills to provide direction in promoting and maintaining collaborative relationships with campus and neighborhood constituencies. Excellent communication skills, including written and verbal.
? Capable of working with internal and external teams and partners.
? Ability to manage multiple projects, accomplish projects with little supervision, and work under strict deadlines
? CPR/AED Certification.
? Specific operational knowledge and experience working with various software systems including Customer Relationship Management, Enterprise Resource Planning, Human Capital Management and Web Content Management systems. Working knowledge of Active Net, Time IPS, Concur, Banner, Workday, When to Work, EMS and Drupal are a plus.
