Job Description:
Syracuse University's D'Aniello Institute for Veterans and Military Families (IVMF) provides an exceptional experience to military connected individuals who need support navigating employment and entrepreneurship resources. The Enrollment Services Coordinators evaluate the individual's goals, previous experience and readiness to commit in order to recommend IVMF program application and facilitate enrollment in accordance with program eligibility and availability, It is the responsibility of Enrollment Coordinators to know all programs and services offered by the IVMF to include eligibility, intended outcomes, and processes to enroll. The coordinators must organize the participant enrollment process in accordance with all IVMF programs' internal processes and sponsored-funding requirements. Additional duties include answering the phones, processing and managing accepted applications within existing CRM and database structures, ensuring data integrity for purposes of program eligibility and reporting, hosting virtual information sessions and assisting the Manager of Enrollment Services and program stakeholders by working closely to meet enrollment and timely processing goals.

Qualifications:
  • Bachelors Degree preferred.
  • Three (3) plus years program enrollment experience.
  • Excellent organization, planning, and problem-solving experience.
  • Experience working with veterans and/or military families.
  • Experience in CRM/database management (experience with Salesforce preferred).
  • Prior service in service or a direct connection the United States military preferred.


Job Specific Qualifications:
  • Excellent verbal and written communication skills, including planning, organizing, and delivering program information and feasible solutions to meet client needs.
  • Familiarity with government programs and services for transitioning service members and families, veterans, veteran families, person with disabilities, mental health, substance abuse, housing, education or other relevant veteran and family issues.
  • Basic database knowledge (preference given to candidates with Salesforce experience).
  • Utilization of existing technologies to synchronize and coordinate across multiple time zones.


Responsibilities:
  • Provide program advising to veterans, service members, and their families by working closely with each individual to select the best resource among various IVMF programs (entrepreneurship & career preparation portfolios).
  • Enrich advising effectiveness through informational interviews and assessments with participants to ensure their needs would be met by the programs offerings and to refer to other programs as needed.
  • Independently assess critical situations and determine when escalation is required.
  • Participate in virtual consult hours with prospects for entrepreneurship programs.
  • Provide graduates with follow-on resources (growth level programs; current offerings for program graduates; community resources which are relevant.
  • Cultivate appropriate relationships with IVMF Alumni, in consultation with IVMF Alumni Services to both recruit for growth level programs and serve as guides for early stage entrepreneurs.
  • Track referrals from VSOs and update outcomes to capture the participants engagement, program participation and outcome pathway.
  • Assist in operationalizing outreach and recruiting plan for attracting veterans, transitioning active-duty service members, National Guard, Reservists, and military spouses.
  • Conduct comprehensive enrollment activities including reviewing incoming applications to all programs offered by the IVMF for completeness, eligibility, and fit for participant goals.
  • Manage the IVMFs programs email and voicemail boxes to include:
    • Respond via phone and email to inquiries related to the Programs and Services offered at the IVMF.
    • Respond independently to prospective and accepted participant inquires via phone, email, mail, and fax in a timely, professional, and accurate fashion.


  • Assist the Manager of Enrollment Services in ensuring continuous improvement of the enrollment process based on applicant experience and feedback:
    • Provide quality assurance checks and escalate any heightened applicant concerns to the Manager.
    • Maintain program admission guidelines by writing, updating, and recommending changes to admission criteria, policies and procedures.
    • Maintain accepted class lists for all IVMF programs nationwide to be provided to IT support teams, program managers/directors, internal advising departments, online faculty, and others as needed.
  • Collaborate and coordinate with multiple IVMF staff in order to assist in the development of ongoing recruitment and marketing initiatives, including presentations to effectively promote the programs and strategically communicate with prospective applicants through the enrollment process.
  • Co-present program orientation sessions with program teams.
  • Sustain appropriate relationships with consortiums (EBV, STRIVE) and various VSOs to share current program updates to serve mutual audiences.
  • Complete other tasks as assigned by Manager of Enrollment Services to meet program requirement changes.
  • Assist with event management (registration, opening/closing ceremonies, in-residency and annual national conference). Partner with O2O to participate during OTYC presentations.
  • Other duties as assigned.
