Clackamas Community College (CCC) seeks to hire a Resource Specialist [ Full-Time] position at the Oregon City and Harmony campus. Purpose of Position:

Provide enrollment and advising services to individuals seeking placement options within the ESOL and Spanish programs. Greet visitors and serve as an information resource. Assist enrollment specialists for English for Speakers of other Languages (ESOL) programs. Administer skills assessments, enter student data, and follow orientation procedures while providing on demand training for student use of enrollment technology. Provide students with referrals for internal and/or external resources as needed to aid in retention and transition goals. Provide administrative support functions in support of assigned department/program.


This position works at both the Clackamas Community College Oregon City and Harmony campus each day. Schedule is Monday-Thursday (4 days, 10-hour days).


Essential Job Functions:



  1. Resource Support (30%)
    1. Provide information of ESOL, Registration, Business Office, Financial Aid and Disability Resource Center departments.
    2. Organize and maintain student files and records as dictated by office procedures and developed in consultation with the Director of Adult Education.
    3. Spanish translation support to ESOL students who speak Spanish.
    4. Aid ESOL students with class locations and instructional support services.
    5. Schedule and administer placement tests: Writing assessments, CASAS Reading/Listening, and other tests as requested by department faculty.
    6. Along with key department personnel, coordinate and attend student class-choosing events and batch testing events.
    7. Ensure students take the appropriate classes based on their test scores and instructors' advising levels.


  2. Customer Service (25%)
    1. Answer telephone calls and emails, schedule appointments with students, and respond to drop-in visitors.
    2. Assist students with navigating college processes such as registration, adding/dropping classes, paying their bill, accessing college forms; guide or walk students to other campus departments as needed.
    3. Schedule testing appointments with students and communicate with support staff about time and place for ESOL testing needs.
    4. Contact other departments, partner agencies and ESOL faculty to make referrals based on student needs as relevant to student goal planning.
    5. Follow up with students and provide next steps for future enrollment and transition options.
    6. Support students' transition from ESOL to the college classes by assisting them in accessing the Career Center, advising and counseling services, WorkSource, and other opportunities needed for each student to reach their educational and career goals.


  3. Clerical Support (25%)
    1. Perform clerical office tasks, such as copying and scanning documents, filing, etc.
    2. Audit student records to ensure test scores are updated.
    3. Assist instructors with various request.
    4. Organize registration packet each term with pertinent dates, make nametags, etc.
    5. Contact students who stopped attending classes to promote re-engagement.


  4. Data Entry (20%)
    1. Correct and updated student demographic information in department spreadsheet.
    2. Register students and create records in Colleague.
    3. Add/ drop student's classes as needed.
    4. Enter students' test scores results each term.
    5. Administer student evaluations.


General Job Functions:

  • Establish and maintain effective working relationships with students, staff, other agencies, and the general public.
  • Perform other duties as assigned within the scope of the classification.
  • Participate in college committees when requested.
  • Maintain proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility, which may require travel.
  • Maintain work areas in a clean and orderly manner.
  • Maintain student confidentiality, data integrity, and comply with all related college, state, and federal standards, including the Family Educational Rights and Privacy Act (FERPA).


Qualifications



Required Qualifications

:


  • Associate's degree in related field

    AND
    6 months of directly related work experience. Any equivalent combination of education and experience which provide the knowledge, skills, and abilities required to perform the duties as described.
  • Bilingual Spanish and English


Preferred Qualifications


  • Knowledge of academic programs and procedures;

  • Understanding of the particular needs of English language learner;

  • Software applications including word processing, spreadsheet, database, email and web-based tools.

  • Basic knowledge of Individual Education Plans, FERPA requirements, state and federal government requirements, and ESOL programs.

Working Conditions:

The position requires minimal (20-40%) ability to use dexterity and fine motor skills assemble, build or repair machines or other objects. Frequent (51-80% of the time) use of office equipment.

Job conditions are usually comfortable, with minimal (5-20%) issues of confinement, temperature change, incident of noise, or interactions of a disagreeable nature, inside/outside work, dirty conditions, exposure to contagious disease, etc. Position may have minimal responsibility for driving.

Supervisory Responsibilities:

Supervision of others is not a typical function assigned to this position. May provide training and orientation to newly assigned personnel, and may assign work to student workers.

Supervision Received:

Works under the general direction of the Director of Adult Education, while also working closely with the ESOL Department Chair.

Terms of Employment:


  • This is a part-time position that will work primarily in-person, with the potential to work a hybrid schedule based on student demand and staffing needs.
