Job Summary:
We are currently seeking skilled and team-oriented applicants for the following position: Career Center Office Manager

Under the general direction of the Career Center Director, provide individual program support, database and budget management, student employee supervision, and customer service support. Support the Career Center with career planning, internship administrative processes, advising, employer relations, and off-campus job promotion and development. Serve as liaison to international students and collaborate with the programs that support international students in order to better connect them with career and professional resources. Manage and direct Career Squad, ensuring high-quality and on-demand peer advising available to students.

Required Qualifications:
  • Bachelors degree
  • Demonstrated customer service skills
  • Ability to work independently and as a member of a team
  • One to two years experience working in an office setting
  • High level of cultural humility and experience working effectively with marginalized populations
  • Demonstrated interest, ability and/or experience promoting cultural competency, universal accessibility, and/or diversity.


Preferred Qualifications:
  • Experience working in a collegiate career center or other student services setting
  • Demonstrated experience supervising professional or student staff
  • Demonstrated budget management experience
  • Demonstrated data management and reporting experience including Excel and online data tools such as Handshake, Survey Monkey, and/or Tableau

Responsibility / Duty: Program Management (45%)
  • Establish and maintain exceptional customer service to students, faculty, staff, employers, alumni, and the public regarding all aspects of the Career Center.
  • Advise students and alumni on policies and procedures of the internship/job search and campus employment process.
  • Advise employers and/or the public regarding job posting policies, procedures, and events
  • Coordinate, schedule, and manage the distribution of all departmental promotional materials
  • Demonstrate cultural competence in working with a wide variety of students from diverse backgrounds.
  • Provide education and assistance regarding career and professional development support and opportunities for students.
  • Maintain office equipment inventory, and coordinate repairs and supplies.

Responsibility / Duty: Career Services Management System | Web-Based Programs (30%)
  • Deliver exceptional customer service and support to students, alumni, and employers regarding the current Career Services Management (CSM) system.
  • Manage CSM database of employer information including job and internship postings, career fair registrations, and other related information.
  • Act as liaison with both the EWU Office of Information Technology and the vendor tech support for questions, improvements, and enhancements to CSM.
  • Approve employers, job postings, and internship-related actions through CSM.
  • Keep abreast of all CSM updates and enhancements and provide training and support to Career Center staff regarding updates.
  • Use CSM to develop and provide regular reports on participation and usage.
  • Maintain, edit, or eliminate data fields for all lists in CSM to ensure information is currently relevant and significant to optimize data quality.
  • Assist with website updates and maintenance to provide current information.
  • Provide education and assistance to students regarding the career centers web-based programs such as Big Interview, Focus 2 Career, What can I do with this major, Handshake, etc.

Responsibility / Duty: Supervision of Student Employees (15%)
  • Hire, train, supervise, and direct student employees.
  • Coordinate with Student Employment and Financial Aid regarding students work-study eligibility and awards.
  • Supervise and direct Career Squad activities, training, and strategy.
  • Prepare schedules, make adjustments, and find alternates when scheduling problems occur based on knowledge of program requirements and staff availability.
  • Conduct quarterly performance evaluations and provide feedback to student employees.
  • Direct student employee support for office equipment inventory maintenance and coordination of repairs and supplies.

Responsibility / Duty: Records and Budget Management (10%)
  • Provide Career Center budget support including ledger one, fee, and foundation accounts.
  • Manage income and expenditures associated with internships, career assessments, and career event registration.
  • Monitor relevant Career Center accounts in Banner and track changes.
  • Maintain documents, records, and files in accordance with laws, regulations, and program guidelines, many of which require confidentiality.
  • Coordinate Career Center purchasing.
  • Maintain detailed records regarding all departmental purchases and contracts.
  • Assist Career Center staff with coordination of departmental travel and manage all travel documentation.
  • Analyze and summarize data and prepare reports and records such as financial, purchasing and inventory.
  • Monitor budget status in line with program activities, plans, or priorities, maintain program budgets and initiate corrective actions; sign vouchers, receive, process, and deposit funds.

Conditions of Employment:
This position, during the course of university employment will be involved in the receipt of, or accountability for, university funds or other items of value, as well as the unsupervised access with the developmentally disabled, vulnerable adults or children under the age of 16. The offer of employment is contingent upon successful completion and passing of a background check prior to beginning employment.

All new employees must comply with EWU Immunization Policy 602-02 and provide proof of immunity or vaccination to MMR before beginning work at EWU. Waivers for the immunization requirements are available for medical or sincerely held religious beliefs.

Salary Information: The salary for this position is $45,276 (minimum) up to $56,352. Where the hired candidate will begin within this range is dependent on education, experience, and skills.
