Campus Operations Manager - Arlington

About the Opportunity

The Campus Operations Manager is motivated and committed to providing customer-service oriented operational management of the Northeastern - Arlington campus.

Reporting to the Associate Dean & Campus Administrator, the Campus operations Manager ensures campus operations and services support the needs of all students, faculty, staff, and guests. Core areas of responsibility for the day-to-day operation of the campus include access and safety, classroom and event management, and coordination of building operations, activities, reception/welcome desk services, facilities maintenance, inventory management, and space scheduling. The Campus Operations Manager serves as the lead with property management for work orders, HVAC and access, technology liaison, services and vendor management, contract management, procurement, risk management, health/safety and security, facility renovations, and management of facility needs. Also, the Campus Operations Manager serves as a primary point of contact for safety and emergency preparedness, financial services, human resources support and personnel onboarding/offboarding, and internal communications. Additionally, this position works closely with Northeastern's network-based information systems staff to ensure seamless delivery of academic and administrative systems and service support at Arlington.

The Campus Operations Manager supervises 3-8 full- and part-time operations staff, which may include student employees, and works collaboratively with a broad range of staff, faculty, students, and external organizations.

The Campus Operations Manager ensures operational excellence for welcome/reception coverage during campus hours (which include evenings and weekends), class and events support, and the appearance and cleanliness of the campus facility.
This highly visible position requires sound judgment, ability to initiate work on behalf of the campus and leadership, outstanding interpersonal, communication, and organizational skills, as well as a high level of attention to detail. This is an on-ground position which is generally ineligible for remote work. Flexibility to work alternative shifts, including occasional evenings and weekends is essential.

Qualifications

Bachelor's degree required. Minimum of 5-7 years of progressive experience, including campus or facility administration, business operations, technology, project management, and customer relations. Ability to maintain accurate records and manage multiple projects simultaneously.

High level of discretion, confidentiality, and professionalism required.

The incumbent must be able to work as part of a team, analyze and develop solutions to complex issues, have the ability to develop productive and respectful interpersonal relationships, demonstrate excellent verbal and written communication skills, be highly organized and detail oriented, be committed to excellence in customer service, and have the ability to handle multiple competing priorities.

Experience effectively managing or supervising staff, including mentorship, motivating performance improvement, and scheduling required. Proficiency with Microsoft Office programs required.

Experience in higher education or another educational context with adult learners is a plus.

Key Responsibilities & Accountabilities

Campus Operations

Serve as a primary point of contact, internally and externally, for activities related to the campus, triaging and redirecting inquiries as appropriate to the campus leadership team. Responsible for staffing and operations of the campus welcome area/help desk, including establishment and refinement of policies and procedures, and ensuring students, faculty, staff, and other visitors to the Campus experience outstanding customer service. Provide overall management of the Arlington campus facility including campus operations, space scheduling, services, and technology. Supervise, mentor, and schedule operations staff to ensure adequate coverage for campus reception, campus opening & closing, and class and event activities. Establish controls and respond to all requests related to the facility (keys, phones, security, parking, office work orders, space maintenance, housekeeping, etc.). Coordinate the distribution of work across the operations team to ensure operational excellence; amenities (e.g., coffee/tea/etc.) are refreshed; student, faculty, staff, and guest needs are met; campus is tidy and re-set after activities and events; and campus inventory stocks are maintained. Manage mail service, deliveries, and subscriptions. Serve as a campus risk management liaison and health & safety lead; coordinate safety meetings and trainings; ensure first aid supplies and equipment are stocked and in good working order; periodically review and update the campus Emergency Operations Plan; serve as a member of the Emergency Operations Team; and provide support to the campus emergency management programs. Work closely with Northeastern's network-based information systems staff to ensure seamless delivery of academic and administrative systems and service support at the Campus.

Classroom & Event Management

Serve as campus class and event coordinator, serving the needs of internal and external constituents and ensuring effective coordination of all aspects of class and event operations. Oversee and contribute to event planning, food services, guest registrations and building access, event space set-up, IT services, class and event clean-up, internal communications, and any other activities necessary to ensure a well-organized and executive event. Coordinate use of all rooms, AV, elevator access, catering, janitorial services, security, HVAC, and other services, and liaise with technology support as needed. Manage events for internal constituents and for external space rentals. Supervise support staff/campus assistants to ensure a high-quality customer experience during events.

Building Support

Oversee Husky ID cards for new students, faculty, staff, and other community members. Manage keys and access cards. Build forms and manage data related to building access. Document and improve building access policies and procedures.
Serve as the lead point of contact for facility updates and communications with the property/building management for day-to-day issues. Establish a process for monitoring and addressing campus safety, cleanliness, furnishings, and equipment. Submit and follow-up on building service requests to ensure a safe and operational learning environment. Work with the campus leadership team to set campus hours of operation, operational contingency plans, operational staffing plans, and oversight of contracted security personnel to ensure the safety and security of the campus. Serve as a lead point of contact with vendors, including but not limited to contracted services with HVAC, A/V, security, parking, custodial, vending. Serve as campus lead on relationships with property management and vendors related to renovations, buildouts, and upgrades; warranties/service contracts; furniture purchases; inventory; repairs; and, signage. Work closely with campus leadership to ensure campus space and facility are aligned to current and future campus needs. Additional duties as assigned.

Team Leadership and Development

Hire and manage operations staff who serve as primary customer service representatives for the Campus. Provide an effective process for performance management and development of staff in keeping with university best practices, including measurable goals, clear expectations, constructive feedback, appreciative encouragement, and performance remediation as required. Provide feedback, recognition, and coaching to staff to promote effective performance, professional growth, and development. Plan for and support employees in career and professional development opportunities aligned with university/campus' needs. Address unsatisfactory employee performance, including developing, delivering, and monitoring performance improvement plans when required.

Space Scheduling

Manage space scheduling, access, and maintenance using university systems software. Oversee the primary campus calendar to ensure coordination of classes, space allocation, meeting rooms, and events do not impede a successful learning environment. Each term, manage the development and communication of the classrooms schedule. Ensure the needs of college/school stakeholders are being met. Ensure an equitable distribution of space. Develop and update campus digital signage. Work with the campus leadership team to provide reports about campus capacity and recommendations about space/facilities needs. Pull and interpret utilization reports from scheduling systems. Manage access to and data input into schedule systems. Serve as an approver on all bookings in restricted spaces.

Financial Services and Human Resources (HR) Support

Serve as a primary point of contact to the global network Finance team. Manage the day-to-day campus budget, track and record campus expenses, prepare reports, and collaborate on forecasting. Work closely with campus leadership to ensure the campus budget aligns with current and future campus needs. Serve as a primary point of contact with global network HR. Complete and submit I-9s for new personnel (faculty, staff) located at the Campus, maintain a current list of the personnel located at the Campus, and manage personnel onboarding and offboarding.
