Clackamas Community College (CCC) seeks to hire an Asset and Procurement Specialist [full-time] position in the Information Technology Services department. PURPOSE OF POSITION

:

This position reports directly to the Director of Information Technology Services and is integral in overseeing and streamlining the IT procurement and acquisition process along with a variety of administrative support services for the Information Technology Services Department. Strategically handling the acquisition, lifecycle, and disposal of IT assets, ensuring cost-effectiveness and operational efficiency for the College. Provide oversight of hardware and software inventory, assisting in renewals of warranties, maintenance agreements, and support contracts.

ESSENTIAL JOB FUNCTIONS

:



  1. IT Procurement (50%)
    1. Oversee the college's IT procurement process, ensuring compliance with all applicable standards, policies, rules, and regulations. Review, manage, audit incoming request for purchasing of IT software and hardware, and ensure the purchase is in alignment with current policies and procedures.
    2. Support the college in planning, selection, purchase and delivery of hardware and software.
    3. Assist with the management of technology vendor partnerships, and coordinate with vendors to review technology requests, provide quotes, and ensure the timely delivery of hardware and software for deployment. Maintain list of vendors for coordinating purchasing activities.
    4. Identify and process purchase order (PO) requests from departments for technology related software, hardware, and services. Use Prophix and Colleague to verify spending, and appropriate funds available for purchases.
    5. Process invoices received from the business office or vendors directly that need to be approved and processed for payment. Analyze the invoice for correctness, budgetary allocation, create an RFP (request for payment), and process invoice for payment.
    6. Leverage the college's financial systems to analyze and report on budget and vendor information, for the purposes of budget meetings, budget tracking and vendor activity.
    7. Facilitate department purchases using designated credit cards, ensuring proper collection and reconciliation of receipts, and maintain accurate records for all transactions.


  2. IT Asset Management (40%)
    1. Work with ITS Service Desk, Systems, and Network teams to maintain repository of enterprise software licenses/keys. Develop and create a central place to track information.
    2. Assist ITS Service Desk, Systems, and Network teams in updating and maintaining inventories for all IT equipment and supplies including location, asset tag number, serial number, make, and model of equipment.
    3. Proactively track and monitor renewal dates for software and hardware warranties, maintenance agreements, and support contracts.
    4. Manage the college's technology surplus recycling process ensuring compliance with all applicable standards, policies, laws, rules, and regulations. Coordinating contractor services and ensuring recycling Is completed within approved timelines and budget.


  3. Other Responsibilities (10%)
    1. Assist IT staff with department initiatives, by managing documents, preparing presentations, and coordinating logistics.
    2. Act as point of contact for the IT department, assisting with walk-ins, phone call, email inquiries and service tickets from employees and potential external vendors.
    3. Assist the Dean of Technology and the ITS Director with creating and management of the department budget. Pull reports from Prophix and review annual renewals and forecasted purchase to help inform the budget process.


GENERAL JOB FUNCTIONS:

  • Establish and maintain effective working relationships with students, staff, other agencies, and the general public.
  • Perform other duties as assigned within the scope of the classification.
  • Participate in college committees when requested.
  • Maintain proficiency by attending training and meetings, reading materials, and meeting with others in areas of responsibility, which may require travel.
  • Maintain work areas in a clean and orderly manner.


Qualifications



REQUIRED QUALIFICATIONS

:

  • High School Diploma or GED required; supplemented by two years of experience in business or related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.


PREFERRED REQUIREMENTS:

  • Demonstrated effective communication skills including ability to articulate information to staff, partners, and stakeholders.
  • Demonstrated analytical skills and proficiency in Excel, including functions like pivot tables and utilizing v-lookups.
  • Experience in IT procurement and asset management.
  • Demonstrated knowledge of procurement and asset best practices and procedures.

WORKING CONDITIONS

:


  • The position requires minimal (20-40%) ability to use dexterity and fine motor skills assemble, build or repair machines or other objects. Frequent (51-80% of the time) use of office equipment.

  • The position requires minimal (5-20%) physical effort such as lifting, carrying, or movement, etc. Movements required to complete work are not difficult, and only require some degree of agility and hand eye coordination.

  • The work environment is well protected, with virtually no hazards or obstacles (0-5%). There is very little element of personal risk or hazard. Job conditions are usually stable, with virtually no (0-5%) issues of confinement, temperature change, incident of noise, or interactions of a disagreeable nature, inside/outside work, dirty conditions, exposure to contagious disease, etc.


SUPERVISORY RESPONSIBILITIES

:
  • Supervision of others is not a typical function assigned to this position. May provide training and orientation to newly assigned personnel, and may assign work to student workers.

  • Works under the general direction of the Director of Information Technology Services.

TERMS OF EMPLOYMENT:


  • This is a full-time position that will work primarily in-person, with the potential to work a hybrid schedule based on student demand and staffing needs.
  • Requires flexible work schedule to meet department needs, which may include evenings and/or weekends.
