Job Summary
This term position (mid July 2019 - end of May 2020) serves as a staff manager in the English Language & Literature Department, managing the Hopwood Program. We are seeking an engaged and detail-oriented leader who can partner with the Chief Administrator and consult with the Hopwood Director in providing programming and management of 26 different writing contests and 15 different prizes. The primary responsibilities of this position include oversight and management of the contests, managing over 1.2 M in financial awards from over 50 accounts, marketing the Hopwood contests, assisting students applying to the various contests.

The Hopwood Program at the University of Michigan manages some of the oldest and most prestigious creative writing contests in the nation. The Hopwood Program hosts 40+ contests and prizes for both undergraduate and graduate students.

Responsibilities*
Job duties include but are not limited to the following:

Administration: (35%)

Manage 40+ contests and prizes; secure judges (national & local) to judge the contests, prepare manuscripts for the judges; communicate logistics to students & instructors; communicate with winners of the various contests; arrange for travel & hosting for the lecturers who speak at award ceremonies; manage the Hopwood website.

Student Services: (20%)

Motivate, counsel, advise students on the rules of the contests; assist students in the use of library materials, correspond with Hopwood Program alumni (former winners), and host weekly Hopwood Teas.

Academic/research (15%)

Maintain files and serve as archivist; curate Hopwood libraries including maintaining an active collection of literary journals; assist scholars in research; provide community outreach; remain knowledgeable regarding the field of contemporary literature and creative writing.

Manage Student Financial Aid, Awards and Fellowships: (15%)

Manage over $1.2 million in financial aid from over 50 accounts; manage monetary amounts of awards; observe annual budgets and projections; purchase supplies in accordance with University policies; maintain subscriptions and library collection; maintain donor relations.

Marketing & Communications (15%)

Write and edit bi-annual Hopwood Newsletter; create awards ceremony program; maintain website; maintain rule booklets; manage fliers & posters for contests; publicize contests; partner with local media and university partners to promote contests and awards ceremonies.

Required Qualifications*
  • Bachelor's degree or an equivalent combination of education and experience is necessary
  • Demonstrated excellent written and verbal communication skills
  • Ability to work collaboratively with colleagues in a team environment
  • Ability to work with a large and diverse population of faculty, staff and students; strong interpersonal skills are required
  • Commitment to customer service
  • Demonstrated initiative to gather information, analyze data and problem-solve both independently and as a part of a team
  • Excellent computer skills and advanced knowledge of MS Word and Excel
  • Discretion and an ability to interact with students and faculty with the ability to maintain a high level of confidentiality and professionalism
  • Ability to organize complex operations and to meet deadlines independently. Proven ability to manage projects from creation to successful completion
  • Ability to work and adapt in a fast-paced changing environment
  • Demonstrated ability to prioritize multiple projects simultaneously and successfully meet deadlines

Desired Qualifications*
  • Graphic design skills and ability to make quality fliers and posters
  • Experience with Adobe Design Suite
  • Three or more years of managerial experience
  • Graduate degree in the Humanities
  • Previous experience in student services and financial aid
  • Reasonable knowledge of University policies & procedures
  • Demonstrated experience with UM Pathways software or comparable higher educational institution software systems (Oracle or PeopleSoft)
  • Three to five years of administrative experience in an academic department
