Administrative Assistant IV - School of Health Sciences



Job Description

Under direct supervision the duties will include, but are not limited to:
  • In the absence of the Dean, the Administrative Assistant IV makes operational decisions and resolves conflicts related to college support within the established limits of authority.
  • Provide support and assistance to the Dean in managing requests for projects related to the School of Health Sciences.
  • Function as liaison on behalf of the Dean with internal and external constituencies served by the College.
  • Read and screen incoming correspondence and reports, receive and screen incoming calls and visitors.
  • Coordinate and facilitate the Dean's calendar to schedule meetings, conferences, and travel for the Dean.
  • Compose correspondence and prepare administrative reports relying on a variety of sources.
  • Review, proofread, and edit documents, reports, forms, etc., in preparation for the Dean's signature.
  • Respond to inquiries from external entities.
  • Participate in Program Director meetings, communicate assignments to Department Chairs and Program Directors based on the Dean's instructions.
  • Hold Classified staff meetings to communicate upcoming assignments and news from the College at large.
  • Organize and maintain confidential records and authorizes access to the information as appropriate.
  • Plan, organize, coordinate, and oversee special projects as requested by the Dean.
  • Assist students and faculty as required.
  • Request affiliation agreements/MOU's and maintain finalized agreements/MOU's in the Dean's office.
  • Provide leadership to the other Administrative Assistants in the School of Health Sciences in the execution of their duties, supervise and oversee the work of staff as assigned.
  • Plan, develop, train, and implement production goals, work performance standards and specific processes and procedures required to complete projects and ongoing assignments, coordinates office coverage with the other Administrative Assistants in the School of Health Sciences.
  • Evaluate performance, resolve conflicts, and seek solutions, taking disciplinary action when necessary.
  • Counsel and mentor classified staff within the School of Health Sciences.
  • Provides support and assistance in the development and preparation of department and college curriculum/common course numbering changes for new or revised courses, emphases, degrees, or certificates in collaboration with the Dean, Department Chairs and Program Directors, as necessary.
  • Provide support and assistance in the development and preparation of class schedules; review and make suggestions to School leadership regarding classes and faculty workloads.
  • Provide support and assistance in the development of School/Department budgets and budgetary reports.
  • Monitor budgeted accounts in coordination with the School's Account Manager.
  • Prepare and review budget documents related to purchases, expense reports and letters of appointment.


Minimum Qualifications:
  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.


Starting Salary

Grade 29, Step 1 $45,184.32

Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
