Administrative Assistant II - DWED - AHA Healthcare



Job Description

The Administrative Assistant II will report to the Coordinator of the Division of Workforce and Economic Development. The role involves preparing documents, scheduling interviews, and representing DWED at community events. It involves attending meetings, advising clients, and completing forms. The role also involves administrative tasks like scheduling, correspondence, and handling visitors. The responsibilities include managing materials, supporting training, and supporting the AHA Healthcare team. The role also involves assisting with Continuing Medical Education requests and completing special projects as requested by DWED leadership and management.

Under direct supervision, responsibilities include, but are not limited to:
  • Prepare and type required documents, make travel arrangements and schedule interviews, make, and maintain classroom requests, and set up and represent DWED at various community events as needed.
  • Attend DWED and program meetings regularly and take meeting notes at CSN (College of Southern Nevada), community, and industry meetings as needed.
  • Assist in the classroom by advising individuals and small groups of clients, providing standard and routine information concerning program requirements and policies, and assisting students in completing the required program forms.
  • Complete new hire packets and payroll worksheets by CSN HR policies and procedures and assist in tracking and posting open program positions.
  • Supports program managers administratively in scheduling, correspondence, emailing, handling visitors, routing callers, and answering their questions.
  • The American Heart Association processes online and phone orders for materials needed from all vendors.
  • The American Heart Association Instructor Network performs actions on-site as the Training Center Administrator.
  • Managing the Medical Education requests and charging students for AHA ACLS and PALS classes. Creation of CME certificates.
  • Proving support for the entire AHA Healthcare team as needed, completing tasks or special projects requested by DWED leadership and AHA Healthcare management.


Minimum Qualifications:
  • Graduation from high school OR equivalent education and one year of clerical experience which included experience in one or more of the following areas: maintaining records, answering telephones, and reviewing forms, documents and other written materials; OR six months of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.


Preferred Qualifications
  • American Heart Association certification.
  • Medical office administration.
  • Bi-lingual and Bi-lingual in medical terminology.
  • Licensed Practical Nurse /or Licensed Vocational Nurse/ Medical Assistant.


Starting Salary

Grade 25, Step 1 $38,419.20

Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.

This position is contingent upon ongoing and continuing funding.
