Job Description:
This position will serve as the Administrative Assistant to the Director of Counseling as well as supervise the front facing services of the Barnes Center at the Arch: Counseling office coordinators. This is a 12-month position, which will include assistance with Barnes Counseling's operating budget, ordering supplies, reserving meeting spaces, and other administrative tasks such as processing counseling records, leaves of absences, staff schedules, etc. In addition, this position will also provide direct supervision and support to the Counseling Office Coordinators.

Qualifications:
  • Associates or Bachelors degree required.
  • Minimum three years experience providing administrative support, budget management and basic accounting skills.
  • Experience in records management and office operations.
  • Knowledge of HIPPA/FERPA and ability to handle sensitive, continental information.
  • Best in class customer service skills required.
  • Demonstrated ability to work in a fast-paced environment.
  • Excellent communication and teamwork skills, including experience in leadership/supervision.


Job Specific Qualifications:
  • Proficient with current office technologies.
  • Experience with provision of administrative support required.
  • Comfortable with mental health concerns and discussing personal mental health matters.
  • Able to work with confidential information and maintain confidentiality.
  • Ability to work somewhat autonomously.
  • Related office budget experience and supervisory experience desired.


Responsibilities:
  • Assistance with managing the Counseling Centers operating budget, including professional development and supply expenditures.
  • Attend to administrative duties for the Director of Counseling, including scheduling and space reservations.
  • Enter billable insurance information, scan billing agreements, create tickets for no-shows, upload documents into clinical charts.
  • Provide clerical support for the counseling department, including but not limited to, checking faxes and uploading documents, maintaining personnel files for staff, assisting with medical leave of absence and readmission process, managing the on-call schedule, and ordering supplies.
  • Providing direct supervision of other office coordinators in counseling including managing scheduling, approving time off, providing coverage when understaffed, leading staff meetings, as well as individual meetings with direct reports, to assist them in meeting their performance goals.
  • Respond to issues that are escalating by staff including student or parent complaints.
  • Offer orientation and training to new staff.
  • Work with counseling staff and operations team to ensure workflows related to counseling intake are efficient and updated as needed.
