The Program Coordinator for Fiscal & Data Analytics provides administrative, financial, and data support to the Assistant Director for Fiscal & Data Analytics. The position supports departmental financial operations, expense tracking and reconciliation, procurement, vendor management, reporting, data analysis, building licensing, Convenience Points administration, and Power BI dashboard development. Conduct daily financial operations in BU works, including purchase orders, journal entries, financial reporting, and reconciliation of departmental funds. Track expenditures and support account reconciliation for shared cost centers. Coordinate billing and charges to university departments for special groups and programs. Monitor special and capital funding to ensure project-specific expenditures are appropriately tracked and comply with university guidelines. Coordinate vendor contract renewals, tracking, and payments, including Illumia, StarRez, CCURE, and other departmental systems and services. (20%) Provide fiscal and administrative support to the Assistant Director for Fiscal & Data Analytics by maintaining accurate records of departmental expenses. Prepare purchase requisitions and purchase orders, verify price quotes, process invoices and disbursements, reconcile orders, and coordinate with Sourcing and Accounts Payable. Communicate with vendors, confirm receipt and delivery of goods and services, order departmental supplies, maintain financial documentation and filing systems, prepare expense reports, and perform related administrative functions. (20%) Data Collection, Verification & Reporting Assist with the collection, validation, and maintenance of operational and financial data used for departmental dashboards and reporting. Gather and verify information related to financial activity, housing facilities, occupancy, building information, and other operational statistics to support accurate and timely reporting, analysis, and decision-making. (20%) Coordinate the collection, organization, and preparation of documentation required for the biannual dormitory licensing renewal process. Maintain accurate licensing records and work with appropriate University departments and external stakeholders to ensure required materials are complete and submitted according to established timelines. (15%) Convenience Points Administration & Reporting Maintain the database of Convenience Points purchases, and associated expense worksheets used for budget submissions and quarterly reconciliation and confirmation processes. Record, monitor, and report daily and weekly Convenience Points activity across all locations and prepare required reports for Auxiliary Services. Research and reconcile discrepancies as needed to ensure data accuracy. (15%) Partner with the Assistant Director for Fiscal & Data Analytics to develop, maintain, test, and update Power BI dashboards supporting cyclical Housing operations. Assist with data validation, report development, and ongoing dashboard enhancements to provide timely and meaningful operational and financial information to Housing leadership. (10%)

Required Skills

High School Diploma/GED, two years of college or equivalent preferred, strong communication and organization skills, and one to three years of directly related experience.
