Job Summary

Grants and Contracts OfficerThe Department of Neurology is seeking a Grants and Contracts Officer to facilitate the grant process, pre- and post-award. Coordinate research, prepare, finalize, submit, and follow up on industry, foundation, and/or government grants. Research and draft proposals, develop budgets, and manage the submission process, ensuring deadlines are met. Process grant reconciliations, maintain records, and communicate with funders. Establish relationships with foundations.

This position provides complex administrative support for Various Principal Investigators and their labs. The desirable candidate will have demonstrated a strong organizational capacity, excellent communication skills, and the ability to balance priorities while ensuring follow-through with a diverse set of responsibilities.

This position will be primarily remote with occasional days in the office.

Establish relationships with foundations. Requires moderate skill set and proficiency in discipline. Conducts work assignments of increasing complexity, under moderate supervision with some latitude for independent judgment.Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.This is a Developing-Level position in the General Professional track.Job Code: P23762Grade: P14
Grants and Contracts Officer, IIIFacilitate the grant process pre- and post-award for the university. Coordinate cross-departmentally to research, prepare, finalize, submit, and follow-up on industry, foundation, and/or government grants. Research and draft proposals, develop budgets, and manage the submission process ensuring deadlines are met. Process grant reconciliations, maintain records, and communicate with funders. Establish relationships with foundations. Considered highly skilled and proficient in discipline. Conducts complex, important work under minimal supervision and with wide latitude for independent judgment.Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.This is a Career-Level position in the General Professional track.Job Code: P23763Grade: P16

Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
Department may hire employee at one of the following job levels:
Grants and Contracts Officer, II: Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
Grants and Contracts Officer, III: Requires a bachelor's (or equivalency) + 6 years or a master's (or equivalency) + 4 years of directly related work experience.
Grants and Contracts Officer, IV: Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience.


Preferences
  • Must be local and able to work on-site as needed.
  • Research administration, sponsored projects, or grants and contracts experience preferred.
  • Experience with federal, foundation, industry-sponsored, and/or VA-funded research preferred.
  • Experience with NIH and other federal sponsors strongly preferred.
  • Ability to independently manage an assigned portfolio and serve as the primary grants and contracts point of contact for assigned divisions and faculty.
  • Ability to manage a high-volume workload, competing priorities, and multiple deadlines with strong attention to detail.
  • Ability to interpret and apply sponsor guidelines, institutional policies, and award requirements.
  • Strong communication skills and experience working directly with PIs, faculty, departmental leadership, central research offices, and sponsors.
  • Demonstrated ability to exercise sound judgment, troubleshoot issues independently, and escalate concerns appropriately.
  • Ability to work collaboratively while taking ownership of assigned responsibilities.
  • Neurology, clinical research, or academic medical center experience or interest preferred.
  • Familiar with University pre-award systems, processes and policies required for a successful submission.
  • Familiar with University post-award systems including management reports, university chartfields/account codes, Djobs, ePAR.
  • Has developed specialized skills or is multi-skilled through job-related training and on-the-job experience.
