JOB TITLE:
Part time Project Assistant
JOB PURPOSE:
The position will coordinate projects and events, communicate with partners, manage timelines and logistics, maintain records and data, and support the implementation and evaluation of Partnership activities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Project and Program Coordination
- Coordinate the planning and implementation of assigned WSUP projects and initiatives.
- Develop and maintain project timelines, calendars, task lists, and deliverables.
- Monitor project progress and follow up with partners and participants.
- Coordinate multiple projects and activities throughout the academic year.
- Maintain organized project documentation and records.
- Identify logistical challenges and work with the Executive Director and partners to address them.
School District and Partner Engagement
- Communicate with WSUP member school districts and education organization partners.
- Coordinate participation of school districts, UW faculty and staff, students, and other partners in WSUP activities.
- Serve as a point of contact for routine questions and requests.
- Maintain current partner contact information and participation records.
- Support activities designed to strengthen connections between the University of Wyoming and Wyoming schools.
Events and Special Initiatives
- Coordinate WSUP events and special initiatives, including the annual District Residency Connections Fair.
- Coordinate registration, scheduling, communications, facilities, catering, materials, and other event logistics.
- Communicate with participating school districts, UW programs, and education organizations.
- Provide event-day coordination and post-event follow-up.
- Assist with participant feedback, evaluation, and reporting.
Communications and Outreach
- Draft and distribute WSUP announcements, invitations, newsletters, reminders, and other communications.
- Develop informational and outreach materials.
- Maintain WSUP web and/or social media content, as assigned.
- Coordinate communications with member districts and University stakeholders.
- Help promote WSUP opportunities and activities to school districts and University audiences.
Data, Documentation, and Reporting
- Maintain databases, spreadsheets, contact lists, participation records, and project files.
- Collect and organize information related to WSUP programs and activities.
- Assist with surveys, evaluations, and other data-collection activities.
- Prepare routine reports, summaries, presentations, and other materials.
- Track project activities, outcomes, and accomplishments.
Administrative and Financial Support
- Assist with purchasing, invoices, reimbursements, contracts, and other routine financial processes related to WSUP activities.
- Monitor project-related expenditures and maintain appropriate documentation.
- Assist with grant-related activities and reporting, as assigned.
- Coordinate meeting schedules, agendas, minutes, and follow-up activities.
MINIMUM QUALIFICATIONS:
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects, priorities, and deadlines.
- Ability to work independently and demonstrate initiative.
- Strong attention to detail and follow-through.
- Ability to establish and maintain positive working relationships with a variety of individuals and organizations.
- Proficiency with common office technology, including Microsoft Office or Google Workspace.
- Ability to maintain accurate records and manage information effectively.
DESIRED QUALIFICATIONS:
- Experience coordinating projects, programs, events, or initiatives.
- Experience working with K-12 schools, school districts, higher education, or education organizations.
- Experience with event planning and logistics.
- Experience with databases, spreadsheets, surveys, or program evaluation.
- Experience coordinating multiple stakeholders and competing deadlines.
- Familiarity with Wyoming's K-12 education system.

WORK LOCATION:
On-campus: This position provides vital support to campus customers, and the successful candidate must be available to work and perform essential job functions on campus, understanding our location is at 7,220 feet above sea level.
