About the Department and/or College
Major/Essential Functions
The Alumni Engagement Event Coordinator is responsible for planning, coordinating, and executing events that foster meaningful connections between alumni, the College, and TTU. This role develops and implements engaging programming that supports alumni relations goals, enhances alumni involvement, and strengthens long-term relationships with graduates.
The coordinator collaborates with internal departments, alumni volunteers, and external vendors to manage logistics, communications, and event promotion. This position ensures successful event delivery through effective organization, attention to detail, and strong interpersonal skills, while also tracking engagement outcomes and supporting broader advancement initiatives.
Alumni Engagement - 45%
- With the Director of Development and Dean, create, implement, and lead a comprehensive alumni engagement strategy that fosters lifelong connection to the Honors College.
- Plan and execute a range of programs and events for alumni to engage with the College, including place-based networking opportunities, mentoring initiatives, externship hosting, guest speaker
- Create new relationships with Honors alumni across industries, career stages, and locales; leverage those connections to support students, engage alumni, and strengthen Advancement goals in the College. May exhibit travel with the Dean or Director of Development.
- Maintain accurate records of alumni contact information, engagement, event attendance, volunteer activity and interactions using the university's CRM and data systems.
- Analyze engagement data and prepare reports to support planning, assessment, and decision-making.
- Define and promote clear benefits for active Honors College alumni, ensuring a compelling value proposition that drives sustained engagement.
- In collaboration with Honors College partners, plan, manage, and execute College-level events (includes strategy, logistics, setup/cleanup, purchasing, vender negotiating, menu planning, reserving facilities and parking, ordering decorations, entertainment, transportation, communications, invitation lists, etc).
- Work with the Associate Director of Systems and Administration to create and manage event budgets, invoices, and payments.
- Plan, manage, and execute administrative and logistical support for local, state, and nationwide events led by the Dean and/or Director of Advancement to foster connection.
- Coordinate alumni participation in appropriate College-level events.
- Organize and delegate student event worker responsibilities.
- Maintain event supply inventory; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- When appropriate, create engaging, mission-aligned event messaging for the Honors College community.
- Coordinate alumni engagement via email outreach, text messaging campaigns, program scheduling, and in-person meetings.
- Other duties as assigned.
Required Qualifications
Bachelor's degree plus one year related experience; OR a combination of education and/or related experience equal to five years.
Preferred Qualifications
- Experience with event promotion, including email campaigns, social media, and alumni communications.
- Familiarity with event management platforms, CRM systems (e.g., alumni databases), and virtual event tools.
- Experience managing or assisting with event budgets, expense tracking, and cost control.
Pay Range
$19.47 - $25.29 -$31.15
