The Program Coordinator for Strategic Support is a member of Penn Engineering's Strategic Support Team, which provides administrative and operational support to assigned research centers and strategic initiatives across the School. Team members are assigned to support designated research centers and strategic initiatives based on organizational needs.

This position is assigned to the AI-enabled Systems: Safety, Explainability and Trustworthiness (ASSET) Center, providing administrative and operational support to its Director, Principal Investigators, affiliated faculty, and research personnel by coordinating the administrative and operational activities of the Center.

Job Description

Job Responsibilities
  • Provide administrative and operational support to the Director, Principal Investigators, affiliated faculty, and research personnel in support of the activities and operations of the assigned Center (ASSET).
  • Coordinate the planning and execution of meetings, seminars, workshops, symposia, site visits, and other events in support of the assigned Center, including scheduling, venue reservations, speaker invitations, event communications, registrations, catering, visitor logistics, travel arrangements, and reimbursement processing.
  • Manage communications, website content, social media, announcements, newsletters, marketing materials, and other outreach activities in support of the assigned Center.
  • Coordinate Center office operations by managing room reservations, office space logistics, facilities service requests, supplies and deliveries, greeting Center visitors, supervising student workers (including scheduling, assigning work, and approving timesheets), and serving as the Floor Captain for the assigned Center's space, coordinating the day-to-day administrative and logistical needs of the assigned floor.
  • Provide administrative support for proposal development by preparing documents, coordinating administrative materials, maintaining proposal files, and communicating with investigators and Penn Engineering Research Services.
  • Monitor expenditure of funds. Work with Penn Engineering Financial Services regarding expenditures.
  • Perform other duties and special projects as assigned in support of the Strategic Support Team and Penn Engineering research centers and strategic initiatives.


Qualifications
  • Bachelor's degree and a minimum of two years of related administrative experience or an equivalent combination of education and experience. Demonstrated excellent verbal and written communication, interpersonal, and organizational skills, and Microsoft Office and other computer skills.

This position is assigned to support the AI-enabled Systems: Safety, Explainability and Trustworthiness (ASSET) Center by coordinating the administrative and operational activities of the Center.

Primary responsibilities include coordinating meetings, seminars, workshops, symposia, and other Center events; preparing correspondence and meeting materials; managing Center communications, website content, and marketing materials; coordinating visitor travel and expense reimbursements; supporting proposal preparation and financial administrative processes; coordinating office space logistics and facilities requests; supervising student workers; serving as the Floor Captain for the assigned Center's space; and serving as a primary administrative resource for Center-related operations.

As a member of the Strategic Support Team, the Program Coordinator is assigned to support designated research centers and strategic initiatives based on organizational needs while providing consistent administrative and operational support to the assigned Center.

Coordinators designated as Floor Captains are expected to maintain a regular on-campus presence (hybrid 4/1 schedule) to support the operational needs of their assigned Center.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
