JOB TITLE:
Office Associate - BCPA Shared Staff Center (Music)
JOB PURPOSE:
Provide administrative and front office support to the Visual and Performing Arts Shared Staff Center. This position serves as the central main office staff for the Buchanan Center serving Visual Arts, Theatre & Dance, Music, and Fine Arts Outreach.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Perform administrative tasks and projects. Analyze, process and maintain information as required.
- Assist supervisor by researching problems and providing resolution(s) as directed.
- Perform bookkeeping duties, organize data and oversee office functions as required.
- Prepare complex reports regarding personnel staffing and budgetary requests for personnel, supplies and equipment; perform associated analysis and interpretations.
- May perform a variety of marketing, public relations, and special event projects and tasks.
- Provide training regarding department and University procedures; may provide computer application(s)/procedures training.
- Some positions may perform student academic advising.
- Perform special projects, as directed.
- May guide or supervise other office staff as required.
- Serve as the receptionist for the Buchanan Center shared staff office. Duties include answering phones, taking and disseminating messages, sorting and delivering mail, scheduling rooms, responding to department emails, mange key and locker checkout for the Theatre & Dance and Music departments. Serves as initial contact for the office by greeting visitors, answering questions or directing to appropriate resources, assisting students and faculty with forms and information.
- Provide administrative support for the Theatre & Dance and Music departments and the Fine Arts Outreach program. Duties include assisting with loading semester course schedules, serving as main contact for the CAP process, creating donor thank you letters, arranging travel for faculty, assisting with course evaluations, maintaining and ordering department and staff center supplies, contact for building work orders, and create and maintain department listservs.
- Assist others in the staff center with financial transactions. Duties include reconciling p-card expenses, creating and reconciling reimbursements, purchase orders, and assisting with statements of work.
- Position assists with and answers questions for faculty, staff, and student traffic related to all units (Music, Theatre & Dance, Fine Arts Outreach) in the building.
- Assist others in the staff center with website maintenance, graphic design, or other projects as assigned.
- As time permits, position may assist with departmental events.
SUPPLEMENTAL FUNCTIONS:

MINIMUM QUALIFICATIONS:
Education: High School Diploma or GED
Experience: 2 years progressively responsible work-related experience
Required licensure, certification, registration or other requirements: None
DESIRED QUALIFICATIONS:
Associate's degree and/or equivalent combination of education and experience
Experience with electronic and paper record keeping
Experience in an office or customer service role
Experience with student information software systems
Excellent written and verbal communication skills
