The Department of Psychology and Neuroscience at CU Boulder invites applications for the Department and Events Coordinator position! This role supports faculty and department operations in the Department of Psychology and Neuroscience by managing front office functions, coordinating department purchasing, and executing a wide range of events. This position serves as a central point of contact for daily operations, providing direct support to faculty, staff, students, and visitors while ensuring efficient and consistent processes and compliance with university policies and administrative requirements.
Working closely with faculty, staff, and campus partners, the Department and Events Coordinator oversees front office workflows, supervises student employees, and manages logistics for department events and recruitment activities. This role coordinates event planning and execution, including scheduling, vendor coordination, budget tracking, and communications, while maintaining systems and processes that support department teaching, research, and administrative functions. Through strong organization and attention to detail, this position ensures reliable day-to-day operations and contributes to a well-run and collaborative department environment. Who We Are
The Department of Psychology and Neuroscience is composed of Faculty, Staff, Research Assistants, Graduate Students, and Undergraduate Students. Through teaching, learning, research, and community outreach, we seek to promote scholarship at the intersection of psychology and neuroscience. Driving this mission is a deep, shared commitment to improving the human condition for all people.
The Department of Psychology and Neuroscience is responsible for over 3,700 students in two undergraduate majors and five PhD programs. Our 52 faculty teach and conduct research on topics that range from the molecular to the community level. Our work is spread across multiple campus locations (MUEN, IBG, WILD, & CINC), with an annual budget of $20 million, which includes approximately $12 million in grant-funded research and $600,000 in gift funds.
What Your Key Responsibilities Will Be
Front Oce Management
- Handles front office operations
- Determines scheduling priorities and maintains conference and testing room schedules and reservations
- Recruits, hires, schedules, and supervises student assistants to support front office operations, including:
- Processing copy requests, maintaining and troubleshooting copiers
- Sorting and distributing incoming mail and email
- Responding to inquiries from students and faculty via email, phone, and in person
- Ensuring appropriate use and security of keys
- Assisting with supply distribution and equipment checkout
- Supporting department events as needed
- Purchases and tracks department supplies
- Reviews P-Card transactions for compliance with university policies
- Maintains vendor relationships and coordinates copier lease agreements
- Plan, lead, and implement a wide range of department events, from large-scale functions to smaller gatherings, including outreach, donor, and faculty, staff, and student events.
- Lead events with a high level of independence, using professional event management and communication practices with limited oversight and periodic review.
- Ensure compliance with University of Colorado policies related to events, including parking, safety, catering, facilities and grounds, and alcohol use.
- Handle event budgets independently, including vendor sourcing, cost comparison, invoice processing, and adherence to department and university financial guidelines.
- Purchase and track event materials such as dcor, catering, and rentals, and develop and maintain vendor relationships, including contracts and invoicing.
- Recruit, train, and supervise volunteers and student workers, providing guidance and ensuring timely completion of event tasks.
- Conduct post event debriefs to assess outcomes and recommend improvements to increase efficiency, reduce duplication, and support collaboration.
- Develop and handle event communications to improve attendance, including marketing materials and consistent branding and messaging.
- Handle guest lists, invitations, and attendance tracking to support accurate and efficient event coordination.
- Independently handle major department events such as the spring commencement ceremony and the Ekstrand Mini Convention, including budget oversight, vendor coordination, and collaboration with campus partners.
- Coordinate graduate recruitment visits and orientation in partnership with the Graduate Program Professional, including travel, schedules, meetings, and meals.
- Plan and complete the annual fall welcome event, including scheduling, vendor coordination, and budget tracking.
- Lead or co-manage year-round events such as faculty and staff meetings, training sessions, colloquia, symposiums, faculty recruitment events and job talks, recognition events, and retirement or appreciation events, balancing overlapping timelines and contending priorities.
- Take initiative on assigned tasks and projects from the chair or supervisor, demonstrating the ability to handle a diverse workload with minimal supervision. Projects may include research initiatives, departmental enhancements, or administrative improvements that contribute to the department's mission.
- Analyze current operational processes within the department to identify areas for improvement. Recommend and implement modifications to streamline efficiency, enhance productivity, and support the department's strategic objectives. This responsibility involves both independent problem-solving and collaborative work with department personnel to refine goals and implement solutions.
- Work closely with department personnel, including faculty and administrative staff, to clarify objectives, set achievable goals, and develop strategies for achieving them. This involves employing professional knowledge and skills to facilitate effective communication and collaborative planning.
- Collaborate with other department staff and faculty leadership as needed in supporting undergraduate education and scheduling.
What You Should Know
This is a fully onsite position with a Monday-Friday work schedule. Typical working hours are 8a-5p.
What We Can Offer
The annual salary range for this full-time position is $52,000-$55,000.

What We Require
- Bachelor's Degree.
- An equivalent combination of education and experience may substitute.
- 1+ years of experience in event planning and management, office administration, or related professional field

- Demonstrated ability to work independently and assume responsibility for initiating and completing critical functions in the management of educational programs.
- Demonstrated ability to work effectively in a team and within other collaborative work situations.
