Job Summary
The Faculty-Led Learning Abroad Coordinator serves as campus ambassador for Learning Abroad. The Coordinator plays an essential role in efforts to increase student participation in learning abroad experiences. They collaborate with faculty directors, academic departments, and student affairs to support faculty-led Learning Abroad experiences. They build and maintain relationships in effort to promote Learning Abroad programming and establish resources and partnerships that advance our mission. They strive to provide faculty and other stakeholders with the tools and knowledge necessary to have a successful experience abroad and integrate their experience into personal, professional, and academic goals.
The Coordinator demonstrates creative problem solving and long-term project management. They follow through on assignments and tasks reliably and efficiently. They are the main point of contact for all internal and external stakeholders, through the facilitation of faculty-led programs, including but not limited to providers, partner universities, vendors, students and their families, academic units, faculty, and all other internal stakeholders. They provide accurate and timely responses to inquiries and are available to provide support for students, faculty, and departments. They prepare and maintain all things related to their faculty-led program portfolio, including but not limited to applicant/student records in accordance with University and Office policy, program budgets and finances, program contracts and proposals, faculty portal through Terra Dotta, etc. They are knowledgeable about University resources and policies and provides referrals to other offices when necessary. They exhibit sensitivity to others' needs while being understanding and helpful on the job.

Within the Office for Global Engagement, Learning Abroad serves as the central study abroad office for both the Salt Lake City campus and Utah Asia Campus. We send approximately 850 students abroad annually in a variety of majors, participating on faculty-led, affiliate, exchange, and Utah Asia Campus programs. Our operation is growing: over the past few years, the number of students learning abroad increased by an annual rate of 15%. Responsibilities
- The Coordinator manages and coordinates a portfolio of faculty-led programs and ensures that information is up to date.
- The Coordinator is the main point of contact in Learning Abroad and provides support for programs in their portfolio at all stages of the program and application process.
- The Coordinator works with faculty to develop and implement approved programs.
- The Coordinator oversees planning, logistics, budgets, recruitment, and student advising, in collaboration with the faculty director.
- The Coordinator updates program flyers and brochure sites to transparently communicate information.
- The Coordinator opens programs to accept applications and reviews application eligibility and requirements.
- The Coordinator supports program-specific pre-departure orientations to facilitate successful student experiences.
- The Coordinator is the main contact for faculty and they support faculty and staff associated with programs by advising and assisting on program providers, logistics, transportation, lodging, course registration, etc.
- The Coordinator builds program budgets, ensures payments and cash advances are complete, advises on Concur, and liaises with offices for assistance.
- The Coordinator assists with emergency response and implementing approved emergency protocols.
- The Coordinator works with academic advisors and representatives of colleges to promote programs raise awareness and increase participation in Learning Abroad.
- The Coordinator visit classes, tables at info sessions and events, and advises faculty on recruitment.
- The Coordinator manages program evaluation and student feedback and analyzes data for program improvement.
- The Coordinator reviews completed applications and communicates with applicants and faculty as appropriate regarding status of application. The Coordinator advises students on faculty-led programs and supports Exploratory Advising program for prospective Learning Abroad students
- The Coordinator contributes to the field of international education through participation in local and national organizations and conferences (Forum on Education Abroad, NAFSA, etc.). Represents our office, the University of Utah, and Utah as a state in the international education field.
Minimum Qualifications
Bachelor's degree, or equivalency (one year of education can be substituted for two years of related work experience), plus three years of experience in developing student programs and services; and a commitment to provide excellent customer service required. Knowledge of global political and economic situations and demonstrated human relations and organizational skills are essential elements for this position. Experience working or studying abroad is highly desirable.
Master's Degree is preferred, as is a background that includes the ability to market concepts of international education

Work Schedule Summary: Regular business hours, Monday through Friday 8 am-5 pm. Occasional nights and weekends may be required. After a successful probationary period, this position will be eligible for a hybrid telecommuting/in-office schedule.
