Student Affairs Assistant

Requirements

The Office of Student Affairs is looking for a Student Affairs Assistant to be the primary contact for students, faculty, staff, and visitors, providing accurate information and directing inquiries. The role manages appointment scheduling and logistics for advisors and staff, supports daily administrative operations through organized recordkeeping and document preparation, and coordinates all aspects of Student Health Insurance enrollment.

Key Accountabilities
  • Serve as the first point of contact for students, faculty, staff, and visitors.
  • Accurately respond to general inquiries, provide information about services and processes, and direct individuals appropriately.
  • Manage appointment calendars, schedule meetings for advisors, counselors, and Student Affairs staff, assisting with room bookings or logistics as needed.
  • Maintain organized records, handle correspondence, prepare documents, and support day-to-day administrative tasks to ensure smooth operations across the offices.
  • Manage and coordinate Hamad Student Health Insurance enrolment, payment, claims, and student referrals.


Key Activities
  • Greet all students, faculty, staff and visitors and provide a professional, welcoming, and helpful presence across Student Affairs, Student Wellness & Counseling Center (SWCC) and the Office of Academic Services (OAS).
  • Answer phone calls, manage emails directed to office accounts, and ensure inquiries are addressed promptly and routed correctly.
  • Maintain a quick-reference guide of campus resources for efficient referrals.
  • Schedule and confirm confidential appointments and triage students' access to services for SWCC, advisors and Student Affairs staff.
  • Maintain updated student files, appointment logs, advising statistics, and counseling utilization records, and support data collection for reports and office assessments.
  • Provide logistical and clerical support for programs, workshops, orientations and events coordinated by the three offices, including materials preparation and on-site assistance.
  • Ensure private conversations with students are not overheard in the reception space.
  • Enter confidential data into tracking systems for Academic Services and Student Affairs.
  • Uphold strict confidentiality, especially in matters related to academic advising, wellness, and counseling; demonstrate discretion and cultural sensitivity at all times.
  • Participate in periodic team meetings across the three offices.
  • Share observations about student needs and frequently asked questions to inform program improvements.
  • Support cross-office initiatives by ensuring consistent front-line communication.
  • Maintain inventory of office equipment and/or first aid supplies, obtain estimates for ordering purposes, and order equipment/supplies as needed.
  • Assist students with completing routine processes, forms, documentation (e.g., Hamad Health Cards, visa paperwork, academic petitions), and follow-up processes, ensuring accuracy and timely completion.
  • Provide supportive care for unwell students and referral to professional staff, QF Primary Health Care Clinic, and off-campus healthcare providers as appropriate.


Requirements
  • Bachelor's Degree in a related field.
  • 2+ years of relevant work experience.
  • Experience with database systems.
  • Excellent organizational, administrative, and coordination skills with keen attention to detail.
  • Knowledge of health promotion and wellness education and effective programming on health and wellness, Women's Center, Title IX, and diversity issues.
  • Excellent communication skills, both written and verbal, with a focus on clarity, tone, and professionalism.
  • Ability to exercise discretion when dealing with sensitive information.
  • Knowledge of health protocols and policies.
  • Working knowledge of financial procedures.
  • Understanding the importance of meeting student needs.
  • Familiarity with working in a multicultural environment and working with students from diverse backgrounds.
  • Strong proficiency with Microsoft Office Suite and working knowledge of database use.
