Title of Job: ASSOCIATE DIRECTOR FOR EMPLOYER RELATIONS AND RECRUITING
POSITION SUMMARY:
The Associate Director is responsible for creating and executing the outreach strategy for the Office of Career Services (OCS) with a focus on diversifying the opportunities and industries engaging with HMC. This includes managing industry and graduate study recruitment, cultivating and maintaining effective long-term employer relations, developing and managing various programs, and creating marketing strategies through social media and other venues. The incumbent researches industry and recruiting trends, benchmarks with peer institutions, and conducts external outreach, job and internship development. The Associate Director serves as the initial point of contact for employers or graduate schools seeking to recruit HMC undergraduate students and manages employer relations programs advising the office on achievable revenue and/or participation levels annually.
The Associate Director is also responsible for providing career-related advising to students and alumni which includes, but is not limited to, graduate school, job and internship advisement. This incumbent must possess excellent written and verbal communication skills, outstanding organization of and experience with project tracking, meeting coordination, event planning, an understanding of career management software, the ability to meet deadlines and balance multiple priorities, the ability to think logically and creatively, and a willingness to work in a collaborative, diverse and fast- paced work environment.
DUTIES AND RESPONSIBILITIES:
EMPLOYER AND GRADUATE SCHOOL RELATIONS & ON-CAMPUS RECRUITING
- Work with the Director of Career Services to prepare and execute on a strategy to grow and diversify opportunities and industries engaging with Harvey Mudd Students and alumni.
- Create and share new ways to engage with Harvey Mudd through partnership programs, micro-internships, site visits, or other on campus recruiting events.
- Direct and manage the campus recruitment program and employer outreach/relations
- Facilitate cross-campus collaborations with Caltech, including joint career fairs and employer engagement initiatives.
- Act as primary liaison with organization representatives for pre- and post- graduate opportunities; coordinate with OCS staff for programming accordingly.
- Cultivate new and maintain long-term relations with current recruiting and continually expand the recruitment program for full-time and internship opportunities relevant to STEM.
- With the Director, design outreach strategies and create ongoing materials needed to expand the recruiting program and engage employers.
- With Career Advisor(s) or Program Manager, organize various networking events including pre-fair mixers, speed networking nights, industry panels, and other small- and large-scale events.
- Manage the Claremont Colleges career management system Handshake; provide training for students, staff/faculty, and employers on the use of the system.
- Stay up-to-date, initiate, and enforce agreed upon 7C recruiting policies.
- Collaborate with other Claremont Colleges regarding use of Handshake by attending monthly Employer Relations Committee meetings to have consistency on the career management system.
- Facilitate the inclusion of new and maintain contacts in the career management system and CRM.
- Organize and coordinate the annual recruiting calendar, including scheduling dates for employer/graduate school information sessions, interviews, and other events making sure dates do not overlap with major holidays, peer institution events, or major campus or 7C events.
- Support and coordinate with HMC's Office of Advancement to engage alumni and parents interested in sharing their career trajectories through events, panels, workshops, and career treks for current students.
- Track job market demand, trends in recruiting, job-offer data, and hiring results for students in various academic majors.
- Reserve rooms and coordinate on-campus logistics for recruiting events.
- Manage job and recruiting event approvals and requests in Handshake and MudderNet.
BUDGET
- Manage career fair budgets and revenue; monitor spending, payments, and follow-up with recruiters when needed.
- Process credit card payments from employers for events, registration fees, etc.
- Maintain the budget for Peer Consultants.
DATA
- Collect, analyze and present statistical information for the Office of Career Services to the college and the public (ex. reports for the Board of Trustees, Senior Outcomes, and Impact Reports).
- Support student and alumni account updates in Handshake by processing name and email changes in Kuali, ensuring timely and accurate updates in coordination with the Registrar's Office and CIS while maintaining account history integrity.
- Continually review student engagement for recruiting events and interviews to ensure equity among participation.
- Conduct surveys of employers and students (i.e., skills/courses recruiters seek on resumes or timing of recruiting or career fair experience and develop strategies and recommendations for improvement/modifications in response to feedback).
- Participate in the post-graduate survey activities to facilitate various reports.
CAREER ADVISING (as needed)
- Determine the initial career services that are needed and make referrals as appropriate during appointments and walk-in visits.
- Provide career and/or graduate school advising; help students connect with appropriate resources.
- Help students formulate a career plan of action; show students how to prepare written materials and provide feedback on those materials such as resumes, cover letters, graduate school essays, personal statements, and various application materials.
- Work with Career Advisor to keep career education workshop materials relevant and updated with industry trends.
OTHER
- Serve as the overall lead for peer consultants employed by OCS managing timecards and budgets.
- Ensure Student Consultants are supported by their lead manager in either Career Advising or Program Management.
- Recruit, hire, train, and manage peer consultants whose primary responsibility is to aid employer relations.
REQUIRED QUALIFICATIONS
Education and Experience:
- Education/Licenses/Certificates: Bachelor's Degree in Student Personnel, Counseling, Higher Education, or Business or 5 years of relevant professional experience. Valid driver's license is required or equivalent means of reliable transportation to off-site meetings and events.
- Experience: 5-7 years professional experience in employer relations, career development, student affairs and/or human resources.
Knowledge, Skills, and Abilities:
- Demonstrated knowledge and value for diversity, equity, and inclusion
- Knowledge of job search tools and the job search process
- Knowledge of the STEM liberal arts curriculum and the ability to work with students seeking careers in these fields
- Excellent interpersonal, oral and written skills, and presentation skills
- Ability to think creatively and identify innovative solutions
- Ability to work and collaborate with diverse groups and constituents including students, alumni, faculty, administrators, parents, and employers; must be comfortable with outreach, cold calling, and effective with networking
- Excellent team orientation and ability to work with staff on variety of projects
- Ability to manage high level of email correspondence
- Experience in the conceptualization and design of career planning publications, including marketing flyers, brochures, and other publications
- Computer proficiency and demonstrated experience in the use of technology in career services operations
- Project management, marketing, and data management skills
- Ability to exercise good judgment with limited guidance
- Ability to advise employers tactfully on appropriateness of professional behavior and marketing strategies
- Demonstrated professional demeanor at all times, and especially when multitasking and being required to enforce policy
- Strong attention to detail and the ability to remain organized despite frequent interruptions is essential
- Ability and willingness to travel out-of-town for professional conferences and employer relations
Computer or Technical Skills:
- Must be independently effective with technology, recruiting systems/ databases, CRM, and project management software
- Advanced skills in Microsoft Word, Excel, and PowerPoint
Preferred Qualifications:
- Master's degree in higher education, counseling, or related field.
- Experience with Handshake career management system
- Experience with LinkedIn, Facebook, Instagram, YouTube, Google Office Suite
- Proficient in graphic design tools
Remote Work Eligibility:
Category B:
All staff positions, regardless of remote work eligibility, require an initial 30-calendar-day on-campus work period. Based on an evaluation by the Area Leadership Group (supervisor, area leader and area Cabinet member) and HR, this position is classified as Category B as defined in the College's Remote Work Policy, with occasional ad-hoc remote work flexibility (as needed). Upon approval by the Area Leadership Group and HR, this position may work up to 1 remote work day per week during the academic year and up to 3 remote work day(s) during the non-academic year. Please note these days may vary depending on departmental and College needs. Additionally, remote work is subject to the College's remote work policy. The College reserves the right to revoke or modify a remote work arrangement for any staff, at any time and for any reason as articulated in the College's remote work policy.
Standard working hours for this position will generally be from 8:00 a.m. to 5:00 p.m., Monday through Friday, though these hours may vary depending on departmental and College needs.
All remote work arrangements, including ad-hoc remote work, must be approved by the direct supervisor, area Cabinet member and Human Resources, and are subject to periodic review based on institutional needs. These arrangements are neither guaranteed nor considered entitlements and may change due to factors such as employee performance, evolving business needs, or changes to the position.
Physical Requirements:
While performing the duties of this job, the staff member is regularly required to sit; stand, use hands and fingers and talk or hear. The employee is occasionally required to reach with hands and arms. The individual must regularly lift and/or carry up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. Hours:
Regular office hours are 8:00 a.m. to 5:00 p.m. However, days and hours may vary due to the needs of the department or the College.
Classification:
This is an exempt, full-time, regular benefits eligible position.
Salary:
$82,000.00 - $87,000.00 per year.
Reports To:
This position reports to the Director of Career Services.
