Job Description
The Division of Student Affairs is seeking a qualified candidate for the position of Administrative Assistant to support the Office of the Vice Chancellor. This key role is responsible for coordinating and executing a broad range of administrative and programmatic functions on behalf of the Vice Chancellor for Student Affairs. Serving as the primary point of contact for both internal and external stakeholders, the Administrative Assistant manages sensitive and confidential matters with professionalism and discretion. The position also oversees the daily operations of the Vice Chancellor's office, provides support to departments across the division, and assists with special projects as needed.
Responsibilities
Provide coordination and administrative support to the Vice Chancellor of Student Affairs
Maintain office records and personnel files (confidential)
Assist visitors to the Office of the Vice Chancellor
Manage schedule and prepare correspondence for the Vice Chancellor
Coordinate meeting of the University Council and Disciplinary Hearing Board as needed
Provide budgetary support for the Office of the Vice Chancellor and Office of Student Care and Conduct (prepare DASH transactions, personnel transactions, requisitions, purchase orders, invoices, expense reports, and monthly account reconciliations)
Assist with initiatives to support process improvement for the Division of Student Affairs
Coordinate services to students in need
Remain up-to-date on University Policy and Procedures
Qualifications
Minimum Qualifications:
High school diploma and five years of office experience, or an equivalent combination of education, training, and experience
Excellent communication skills
Strong customer service and computer skills
Preferred Qualifications
Vocational, associate's, or bachelor's degree
Five years of office administration in an higher education setting
Knowledge of higher education software solutions such as DASH and Banner.
