Keep things organized. Keep projects moving. Help make a difference.
Behind every successful program, project, and initiative is someone making sure the details are handled, deadlines are met, and people have what they need to move forward.
Associated Students Inc. at Cal State Fullerton is looking for an organized, resourceful, and proactive professional to support the Assistant Executive Director of Wellness & Recreation and the teams responsible for student wellness, recreation, and basic needs programs.
This position combines administrative support, project coordination, budget tracking, research, and event logistics. You'll work with leaders across multiple departments, help coordinate important initiatives, and play a supporting role in ASI's continued investment in student wellness.
If you're someone who enjoys solving problems, keeping people organized and making sure nothing falls through the cracks, this could be a great fit.
What You'll Actually Do
- Manage calendars, schedule meetings, coordinate travel, and prepare agendas, presentations, and meeting materials.
- Provide administrative support to the Assistant Executive Director and executive leadership.
- Help coordinate projects and initiatives across wellness, recreation and basic needs programs.
- Track project timelines, assignments, action items, and follow-up to keep work moving.
- Support planning and implementation of the ASI Student Wellness Initiative (ASWI), including meetings, project tracking, and coordination.
- Process purchase orders, invoices, check requests, and other financial documentation.
- Track budgets, monitor expenditures, and assist with financial reporting and reconciliation.
- Research topics, organize information, and prepare reports, summaries, and presentations for leadership.
- Coordinate meetings, special events, programs and division activities, including logistics, vendors and supplies.
- Serve as a point of contact for inquiries and help connect people with the appropriate staff and resources.
- Maintain accurate records, manage office supplies and coordinate administrative requests.
- Recruit, train, schedule, and supervise one to two student administrative assistants.
What This Looks Like in Practice
One morning, you might be preparing materials for a wellness planning meeting, coordinating schedules for several department leaders, and following up on outstanding project assignments.
By afternoon, you could be reviewing budget expenditures, processing a purchase request, helping organize an upcoming event or gathering information for a leadership presentation.
Some days will be focused on administrative details. Others will involve coordinating people and projects across several departments.
The common thread? You're helping people stay organized, informed and prepared so important work can move forward.
This position requires someone who can anticipate needs, manage competing priorities and recognize when something needs attention without always waiting to be asked.
We're Looking for Someone With
- A bachelor's degree in business administration, public administration, communications, or a related field, or an equivalent combination of education and two years of administrative or project coordination experience.
- Experience using data analysis and reporting tools.
- Strong organizational and time-management skills, including the ability to balance multiple projects and deadlines.
- Experience with scheduling, record-keeping, meeting coordination, and general office procedures.
- Familiarity with project tracking, budget monitoring, purchasing, and expense documentation.
- Proficiency in Microsoft Office or similar productivity tools, particularly Excel and PowerPoint.
- Strong written and verbal communication skills.
- The ability to research information, organize data, and prepare clear reports and presentations.
- Excellent attention to detail, problem-solving skills, and sound professional judgment.
- The ability to work independently, take initiative, and collaborate with people across different departments.
- A commitment to providing responsive, professional customer service.
Bonus Points
- Experience working in a college or university environment.
- Experience with project management or asset management software.
- Experience coordinating events, programs, or cross-departmental initiatives.
- Experience supporting strategic planning efforts.
What Makes Someone Successful in This Role?
We're looking for someone who enjoys being the person others can count on.
Someone who follows through, communicates clearly, and takes ownership of the details. Someone who can see the bigger picture while managing the smaller tasks that make it possible.
You'll work with people who have different responsibilities, schedules and priorities, so flexibility and relationship-building are essential.
And while you'll provide administrative support to senior leadership, this is also an opportunity to contribute ideas, improve processes, and help create more efficient ways of working.
Success means being proactive, dependable, and comfortable keeping several moving pieces organized at once.
Why ASI?

The Wellness & Recreation division is helping advance that work through programs, service, and investments designed to support students throughout their college experience.
