Job Summary

Administration Management

This position supports the effective management of departmental operations across the university by contributing to strategic planning, operational oversight, workforce management, and continuous improvement initiatives. The role also provides direct support to junior faculty and post-doctoral scholars. The position partners closely with Office for Faculty leadership, and campus stakeholders to ensure compliance, operational efficiency, and high-quality service delivery.

Responsible for overseeing and coordinating a combination of administrative, operational, workforce, and budgeting tasks for a department/school/college to ensure efficient day-to-day operations. Support leadership in development and implementation of programs and strategies. Collaborate with other departments, maintain records, and ensure compliance with regulations and university policies. Excellent organizational, communication, and leadership skills are essential.

Responsibilities
Essential Duties & Responsibilities:

Operational & Administrative Leadership
  • Assist in the planning, coordination, and execution of Office for Faculty operations to ensure alignment with university goals and operational standards.
  • Support the development and implementation of organizational strategies that promote continuous improvement.
  • Contribute to budget development, financial monitoring, and resource allocation processes to support departmental and institutional objectives.
  • Track and analyze performance metrics (e.g., via Qualtrics and other data sources), identify operational gaps, and implement corrective actions to enhance efficiency and service quality.
  • Draft program reports for institutional and external stakeholders.
  • Develop, recommend, and implement policies and procedures related to customer service, staff management, and budgetary practices in accordance with University of Utah standards.
  • Foster and maintain collaborative relationships with community partners and institutional stakeholders.
  • Provide support for UHELM WiHMS, ELAM and the Office for Faculty Associate Vice President. This includes (but not limited to) developing application surveys, helping coordinate events, and communicating with constituents.
  • Provide administrative support for the Utah Health Excellence Leadership Mentoring (UHELM) program and partner closely with program leadership to support planning, implementation, and continuous improvement of programming, and serves as a key point of contact for participating faculty, fellows, vendors, and guest contributors.
  • Manage the majority of program-related email correspondence, including scheduling, confirmations, and follow-up.
  • Enhance staff competency through training, educational programs, and ongoing performance evaluations.



Faculty & Scholar Support (U-HELM)
  • Provide direct support to faculty, clinical fellows, and post-doctoral scholars.
  • Central point of contact to ensure timely and professional communication, scheduling individual meetings, and facilitating participant engagement.
  • Attends in-person sessions to provide on-site program support
  • Curates and disseminates relevant opportunities (e.g., trainings, seminars, funding opportunities) to support participant development
  • Conduct monthly check-ins with fellows to assess progress, address needs, and ensure alignment with program goals.
  • Manage the professional development fund for fellows, including reimbursement processing, expenditure tracking, and compliance monitoring.
  • Coordinate mentor matching processes, ensuring appropriate alignment between fellows and faculty mentors.
  • Build and maintain strong relationships with faculty stakeholders and guest speakers to support program engagement, collaboration, and retention.
  • Plan, coordinate, and execute social and community-building events, including logistics such as catering, vendor communication, scheduling, communication, and on-site support.
  • Navigates institutional systems and leveraging available resources to support program success.
  • Provide strategic oversight for program growth, sustainability, and alignment with institutional priorities.
  • Contribute to program development, including curriculum design, resource creation, and enhancement of support services.
  • Support grant development activities, including drafting, editing, and coordinating components of grant applications (e.g., NIH submissions).

Customer Service & Quality Improvement
  • Promote and communicate new and existing programs and services to internal and external stakeholders.
  • Monitor customer feedback, address concerns, and ensure appropriate follow-through to maintain high levels of satisfaction.
  • Support departmental quality improvement initiatives by developing strategies and evaluating operational processes.

Problem-Solving & Decision-Making
  • Exercises judgment within established guidelines, selecting from defined alternatives and recommending policy or procedural adjustments when appropriate.
  • Refers issues to higher-level leadership based on departmental protocols and the scope of delegated authority.

Senior Manager, Administration ManagementAssist in managing departmental activities within the university, focusing on operational effectiveness. Develop and implement organizational strategies to drive operational excellence. Manage budgets, financial forecasting, and resource allocation across departments to support the organization's strategic objectives. Monitor performance metrics, identify areas for improvement, and implement solutions to enhance efficiency and effectiveness. Assist departments with workforce operations matters. Partner with University HR to address complex workforce issues and ensure compliance with university policies and regulations.Requires a bachelor's (or equivalency) + 8 years or a master's (or equivalency) + 6 years of directly related work experience.This is a Senior Manager-Level position in the Management track.Job Code: M28294Grade: M19Expected Pay Range: $66,645 to $129,958


Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
