Job Title: HOPE Events Coordinator

This is a Temporary position limited to no more than 9-months.

Job Summary:

Jobs in this career family support students' emotional and physical well-being and intellectual, cultural, and social development outside the context of the formal instruction program or traditional academic unit. Functions include student counseling, career guidance, residence life, multicultural affairs, support of student activities and organizations, recreation services and intramural athletics administration.

Professionals at the entry level are responsible for exercising discretion, analytical skill, personal accountability, and responsibility in a wide range of areas including academic, administrative, managerial and student services functions. Work involves creating, integrating, applying, and sharing knowledge directly related to a professional field.

At the entry level, duties are limited in scope and are performed with guidance and direction from the Manager of Student Affairs & Events and are performed in a training and Development capacity.

Key Responsibilities:

Student Events Support - 25%

  • In collaboration with the Manager of the HOPE department this position is responsible for the successful execution of program events such as the Youth Summit, Unity Mixer, New Faculty Welcome, and HOPEcoming and others.

  • Position manages reservations and collaborates with other departments such as facilities, etc. for event preparation.

  • Position handles catering, technology setup, and materials preparation

  • Position proofreads and edits letters, ads, invitations, web content, etc. for accuracy.

  • Sends out advertisements and invitations, keeping track of RSVPs if needed.

  • Print programs, signage, etc. and gather supplies for events.

  • Position will have to utilize strong time management skills to balance multiple projects throughout the year that coincide and decide on priorities in daily tasks.

  • Draft Official Function Forms for event expenses.

  • Prepare expense reports for event and office purchases.

  • Compiles feedback and prepares post-event reports.

  • Provides event support for student interest group events such as reserving rooms and supporting financial needs in compliance with university and departmental policy

    HOPE Newsletter and Social Media - 15%

  • Create and send weekly newsletter that shares important information with the SOM student body.

  • Create Monthly newsletter that shares important information with the SOM community partners.

  • Compile advertisements, documents, and notices for student interest groups and all of SOM.

  • Organize newsletter by removing old content and maintaining its format.

  • Put out calls for contents to student interest groups

  • Gather, organize and advertise all upcoming events and community engagement opportunities

  • Creates and organizes content for HOPE social media platforms

    HOPE Departmental Support - 20%

  • Maintains student interest group leadership, contact information and bylaws and keeps historical data

  • First point of contact for student interest groups

  • Position is responsible for tracking and processing purchases for SIDE, Student Interest Groups, and other approved student needs

  • Decides whether specific expense requests are sensitive and what additional level of review may be required for this (involves interpretation of policy as well as judgment).

  • Prepare agendas, take meeting minutes, and distribute follow-up action items for HOPE committees and working groups.

    Conference and Travel Support - 10%

  • Gathers and maintains prospective students' information (collected from recruitment events)

  • Creates and manages email campaign to prospective students

  • Completes conference registration

  • Coordinates with UME and GME to organize student and faculty volunteers for recruitment events

  • Provides logistical support for conference attendees

    Community Engagement - 15%

  • Manages HOPE shared inbox

  • Maintain databases for contacts, volunteers, and community partners.

  • Assist in coordinating outreach efforts to increase awareness surrounding health opportunities at CUSOM

  • Represent HOPE at campus and community events, fairs, and information sessions

    Associate Dean, Director and General Office Support - 15%

  • Provide staff support for the Associate Dean of HOPE, Director of HOPE initiatives for Undergraduate Medical Education, Director of HOPE initiatives for Graduate Medical Education, Manager of HOPE and the overall office.

  • Incumbent is primary point of contact for all visitors to the HOPE office and is responsible for providing positive customer service to all visitors.

  • Serves as the first point of contact for students seeking assistance, and the incumbent will complete referrals and/or arrange appointments as appropriate.

  • Serves as the primary point of contact for all phone calls to the HOPE Office and is responsible for answering the phone on remote work days during normal business hours

  • Other duties as assigned.

    Work Location:

    Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Whether you're coordinating conference travel, preparing social media content, or assisting with community outreach, your contributions will strengthen partnerships across the campus and the broader community. This is a dynamic, hands-on role that lets you see the impact of your work every day while supporting the next generation of health professionals.

    Qualifications:

    Minimum Qualifications:

    Entry:

  • A bachelor's degree in education, communication, social science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, liberal arts, finance, accounting, human services, student affairs, or a directly related field from an accredited institution.

    Intermediate:

  • A bachelor's degree in education, communication, social science, women and gender studies, psychology, computer science, information systems, business, health sciences, physical sciences, public administration, business administration, higher education, counseling, hospitality, liberal arts, finance, accounting, human services, student affairs, or a directly related field from an accredited institution.

  • One (1) year of professional level experience in a related role.

    A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

    The hiring range for this position has been established at:

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

    Your total compensation goes beyond the number on your paycheck. Temporary employees are only eligible for sick leave benefits.
