The College of Communication, Media, Design and Information at CU Boulder welcomes applications for the CMDI Space and Facilities Coordinator position! The CMDI Space and Facilities Coordinator, guided by inclusive values and practices, supports scheduling and operations for the college's non-academic spaces and facilities on and off campus. This position fosters strong collaboration among all stakeholders, including CMDI units, CU Boulder Facilities Maintenance, and other relevant campus partners. In collaboration with the Director of Facilities Operations, the role supports initiatives and daily operations that optimize the use of CMDI spaces and facilities. The position also coordinates the physical operations of the off-campus CMDI Studio, including providing direct support for CMDI-hosted events in the space. Some college-wide events occur outside regular business hours, requiring occasional evening and weekend support from this position.Events in the CMDI Studio or other college wide events may occur outside of traditional business hours. This position is expected to provide occasional evening and weekend event support.

What Your Key Responsibilities Will Be
College-Level Space and Facility Coordination
- Acts as the scheduling coordinator for use of the CMDI's spaces that are not for course or instructional instances (non-academic use). These spaces include the CMDI Studio, classrooms, conference rooms, student areas, multi-purpose, and event spaces.
- Provides space coordination and scheduling support for CMDI hosted events to the CMDI Event Coordinator and department administrators.
- Maintains and updates the non-academic event calendars on the appropriate platforms.
- Collaborates with department-level academic schedulers and other college partners to ensure that room scheduling for courses, events, etc., optimizes the utilization of CMDI space resources.
- Works with department administrators, the CMDI Technology Experience Team, and the Director of Facilities Operations to develop and maintain a comprehensive inventory of CMDI space assets, including an up-to-date record of the technology and furniture in each room.
- Supports the Director of Facilities Operations with space or facilities-related initiatives. This includes developing space-use guidelines, criteria, and procedures for optimized use of the college's physical spaces.
- Provides creative and effective physical space support to CMDI departments, coordinating the distribution, delivery, and disposal of furniture, equipment, and so on. Reviews and approves all CMDI property down streaming submissions in the Recoup system.
- Maintains inventory of college spaces in conjunction with the Office of the Provost, Planning, Design & Construction, and the Office of Space Optimization in collaboration with Director of Facilities Operations.
- Serves as the CMDI liaison to the Center for Academic Success and Engagement (CASE) building management team.
- Manages CMDI multipurpose spaces and shared college spaces, including space use policy and request prioritization, scheduling, communication, upkeep, and maintenance. Facilitates semesterly reviews of space use, processes and optimization.
- Submits Facilities Management requests and serves as the point of contact as necessary to support CMDI space renovation projects, upgrades, and so on.
- Serves as the liaison to CU Access Services and Access Control to provide access, as needed, to spaces for faculty and staff and student employees. This includes applying the CCURE card access system and requesting physical keys on an as needed basis.
- Keeps abreast of changes to the non-academic scheduling process as set forth by the Office of the Registrar, Space Optimization, Events Planning & Catering, and campus constituents.
- Serves as the facilities and scheduling coordinator and point of contact for non-course-related space-use/event requests in the CMDI Studio. Non-course related space-use may be requested by CMDI departments, and CU Boulder affiliates. This includes request intake, coordinating approvals for the request, with the Director of the Masters in Strategic Communication Design program (MSCD) and administrative staff from the Advertising, PR & Media Design department (APRD) to ensure alignment of course scheduling, student activities and use of the space among the MSCD, APRD, other CMDI groups, and other CU Boulder-affiliated groups. This includes serving as the point of contact and coordinator for non-course related requests to use the space and using the EMS system to reserve the space for those approved activities.
- Coordinates with the Director of the Professional Masters Program (PMP) in Strategic Communication Design (MSCD)to refer equipment issues to the CMDI technology team to troubleshoot and resolve. Acts as the CMDI Studio liaison between CMDI and building management. This includes coordinating with building management, MSCD, and others to approve and facilitate access to the space as appropriate.
- Acts as the CMDI Studio point of contact for any space related items and coordinates with appropriate parties to address issues effectively and expeditiously.
- Supports space-related initiatives as assigned by the Director of Facilities Operations, working in collaboration on project plans, developing and maintaining project documentation, timelines, and communication plans.
- Coordinates with campus facilities teams, architects, and external vendors to ensure timely and effective project completion.
- Collaborate with Department Chairs and Administrative staff to support Departmental space and facilities needs.
What You Should Know
General Monday through Friday schedule with occasional evening and weekend flexibility. This position will be fully in person with the possibility of occasional remote work in the future.
What We Can Offer
The salary range for this position is $50,000 - $57,325 annually.Relocation may be available within departmental guidelines.
