JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 coordinates a wide variety of administrative processes that include supporting the Director and the Office of Compliance staff. This position assists with the departmental operations with day-to-day activities such as managing calendars and events, greeting and directing visitors, providing confidential administrative support for intakes and investigations, making travel arrangements, screening and handling telephone communications, social media postings, reviewing and responding to emails and other written correspondence as appropriate.


Responsibilities
  1. Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to accessing the calendars of Office of Compliance team members.
  2. Provides follow-up with appropriate departments, under direction, to ensure compliance with agreements, requests for information, and other related issues; interacts with university departments to answer related routine questions and concerns.
  3. Accesses DASH/Oracle, Maxient, Banner and other information management platforms to address research-required concerns, sensitive concerns, and transactions.
  4. Leads and takes minutes for the Office of Compliance project meetings, takes meeting minutes for the Advisory Council for Compliance and Culture, and coordinates the use of the multipurpose room, conference room, and training room.
  5. Serves as a Deputy Title IX Investigation Assistant and may serve as Campus Security Authority as outlined by the Clery Act.
  6. Supports the Office of Compliance by handling the business functions including processing travel for colleagues, updating IT inventory, conducting annual space surveys for the office, and entering new invoices and contracts for signature, etc.
  7. Establishes, maintains, processes, and/or oversees files, correspondence, databases, records, certificates, and/or other documents.
  8. Supports the Compliance Engagement Coordinator in working with Communications and Marketing to update department webpage information, electronic content in handouts, and informational mediums.
  9. Provides note-taking assistance with investigations in person and via Zoom or Teams and other related administrative to support investigators.
  10. Supports the Office of Compliance event marketing that includes but not limited to commemorative days/months, programs, speakers, webinar conferences, seminars, and routine department meetings.
  11. Maintains confidentiality in all matters, including but not limited to departmental plans, harassment, discrimination, and retaliation complaints, student conduct records and related matters, salary and benefits, and personnel matters.
  12. Assists with accommodation reviews and educational adjustments to ensure compliance with state and federal regulations, UT policy, and standard work to support employee requests for accommodation.
  13. Performs other related duties as assigned.

Qualifications
MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of experience directly related to duties and responsibilities specified; OR Associate's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to coordinate and organize meetings and/or programs/events.
  • Skill in organizing resources and establishing priorities.
  • Strong interpersonal and communication skills and the ability to work effectively.
  • Skill in maintaining records.
  • Ability to interact with students, faculty, and/or staff in a team environment.
  • Ability to make administrative and procedural decisions and judgments on sensitive, confidential issues.
  • Knowledge of finance, accounting, budgeting, and cost control procedures.
  • Excellent organization and coordination skills.

WORK SCHEDULE: This position may occasionally be required to work evenings and weekends. This position may require overnight travel.
