Job Description
Position provides accounting, human resources, and administrative support within the Center for Renewable Carbon (CRC) at the UT Institute of Agriculture. Position performs accounting duties and account reconciliation for the Center, working directly with the Center's business manager and other support staff.
Position acts as a liaison with Human Resources offices, Center for Global Engagement, and the Payroll Office. Position manages the Center's human resource and payroll activities and related actions which include hiring documentation, terminations, position creation/changes, searches, implementing fund changes on personnel, reconciliation of payroll, monitoring effort certification records, and other duties as assigned. This position works closely with the business manager, sponsoring faculty, employees, visiting scholars, and the Center for Global Engagement to assure proper and timely work permissions for employees.
Position assures UT fiscal policies are followed in performance of CRC's financial business functions. Position maintains financial records in accordance with university policies and procedures and oversees record management. Position works with external vendors in vendor creation and resolution of accounts payable matters. Position processes accounts payable and accounts receivable transactions.
Responsibilities
Accounting
- Processes accounting for invoices, deposits, equipment purchases, tags inventory, bids, procurement card reconciliation.
- Maintains appropriate documentation for audit.
- Assists with reconciling electronic ledgers.
- Balances accounts and reconciles internal orders.
- Assists with closing grant accounts.
- Processes cost transfers utilizing the correct debit and credit adjustments.
- Process contracts.
- Place and track orders through online marketplaces and with external vendors to ensure timely procurement of goods and services.
- Receive incoming shipments, verify contents against purchase orders, and inspect for quality and accuracy.
- Distribute received items to appropriate faculty or team members in a timely and organized manner.
- Maintain accurate records of orders placed, shipments received, and items distributed.
- New Vendor requests.
Travel
- Serve as primary travel contact for staff in this unit.
- Disseminate travel policy or procedure updates to all staff ensuring that travel reimbursements are met in a timely manner.
Human Resources
- Process and manage visa forms- J-1, H-1B, F-1.
- Process new hire paperwork, including the I-9.
- Process payroll functions.
- Create new positions.
- Manage Programs for Minors for CRC employees.
- Other duties as assigned by business manager and/or Director.
Qualifications
Required Qualifications:
- Education:
- Associates degree in accounting, finance, business administration-professional experience may sub for year-to-year basis.
- Experience:
- 2 years' professional accounting experience.
- Knowledge, Skills, Abilities:
- Knowledge of general accounting principles, cost allocation and cost management guidelines.
- Advanced skills in Microsoft Excel
- Skilled at mathematical computations and organized
- Able to adapt to changing software programs
- Able to read, interpret, apply and teach policy and procedure related to finance and human resources
- Able to focus and set priorities with competing deadlines
- Able to accurately key data
- Applicants must be legally authorized to work in the United States on a full-time basis without need now or in the future for sponsorship for employment visa status.
Preferred Qualifications:
- Education:
- Bachelor's degree in accounting, finance, business administration-professional experience may sub for year-to-year basis.
- Experience:
- 2-4 years of UT accounting experience and/or post award accounting experience.
- Our ideal candidate would have knowledge of UT fiscal and Human Resource policies and procedures.
Work Location:
- Location: Knoxville, TN. Position requires in-person reporting.
Compensation and Benefits:
- UT market range: 06
- Anticipated hiring range: $20 - $21/hour depending on experience.
