The primary accountabilities are intended to describe the general content of and requirements of this position and are not intended to be an exhaustive statement of duties. This position is security-sensitive and subject to Texas Education Code 51.215, which authorizes the employer to obtain criminal history record information. A valid driver's license issued by the State where the applicant resides and insurability as defined in UTS 157 may be required to perform the position's essential functions.
Purpose of Position
Provides international students with academic, personal, social, and career information to assist them in adjusting to and participating in campus and community life.
Essential Functions
- Serves as the Designated School Official (DSO) and Alternative Responsible Officer (ARO), maintaining the Student and Exchange Visitor Information System (SEVIS) and all related certification requirements. Organizes SEVIS data processing under the guidelines provided by the Department of Homeland Security (DHS) and maintains data and quality control management.
- Knowledge of complex federal regulations about U.S. visa and immigration procedures, compliance issues, and employment eligibility/authorization for international students and scholars.
- Demonstrated ability to work with diverse populations. Ability to explain complex information to individuals with limited English skills.
- Responsible DSO for all SEVIS registration, updates, and other government reporting requirements.
- Interprets university and federal regulations and requirements appropriately and provides accurate immigration information to international students and assists international students in understanding university and federal regulations; monitors and tracks student immigration status and maintains appropriate files.
- Replace: Advising and Counseling international students on F, J, and other non-immigrant visa categories on relevant federal immigration regulations and federal agency guidance, offering immigration advice based on individual concerns, academic planning, work authorizations, change of immigration status, medical leave, reinstatement, reduce course load authorizations and commuter student immigration services.
- Maintain international students adhere to immigration regulations by providing guidance on visa requirements, maintaining accurate international student records in the SEVIS system and Sunapsis database, and assisting with visa applications, extensions, and initial and continued issuance of immigration documents for F and J visa holder students and scholars.
- Serve as a point of contact for scholarship programs, cultural and heritage event programs, and other campus events.
- Demonstrated ability to serve in campus committees, campus-wide events, and sessions supporting the students served through the Office of International Programs and Study Abroad.
- Serve as the point of contact for coordinating and planning programs that support the unique needs of F-1 international students including the development and implementation of retention strategies and assist with programs, co-curricular programs, activities, and events such as new student orientation, tax workshops, student information sessions, summer and holiday events, OPT/ CPT workshops, and support events hosted by the Office of International Programs and Study Abroad. Provides active case management to an assigned caseload of students.
- Assist with J-1 exchange students and scholars/Study Abroad Program by supporting J-1 processing and providing classroom presentation/informational sessions; responding to inquiries and advising students and staff about the program and how it fits into the educational plan.
- Supports international students experiencing cross-cultural, family, personal, or economic crises, which may impact academic performance. Helps students to access appropriate campus and community services/resources.
- Demonstrated counseling skills to problem-solving skills, mediate student issues, and concerns and handle sensitive issues by responding appropriately and confidentially and providing appropriate referrals on a timely basis.
- Demonstrated ability to mediate problems and handle sensitive issues that require tact and confidentiality.
- Assists international students with processing applications for work permits, reinstatements, extensions of stay, and other immigration-related matters.
- Works collaboratively with faculty and staff to support the recruitment of international students, particularly those from Mexico, and the development of strategies to enhance student retention.
- Support the implementation of comprehensive enrollment strategies to increase enrollment and retention that broadens access.
- Actively pursue the development and execution of new programs and initiatives that enhance high-impact and engaged learning experiences.
- Assist the leadership of UTEP in transforming the student experience through engagement by fostering success from the first day on campus through graduation to job placement locally, nationally, and globally.
- Assist the leadership with the development and execution of international alumni networks and expand on alumni donations to UTEP Advancement.
- Manages positive and effective relationships with prospective students, applicants, parents, recruitment and admissions specialists from across the work and international institutions, guidance counselors, teachers, school officials, university staff and faculty, representatives from international business and government-related agencies such as U.S. Embassy officials and EducationUSA officials, current and potential local, national and international employers, current and potential exchange partners.
- Demonstrate skills to recruit, train, and counsel student and graduate workers.
- Demonstrated skills to develop and implement training and information workshops and services to international students, scholars, faculty, and staff.
- Compliance with all state, federal, and university policies.
- Participates in training and maintains a relationship with professional organizations to keep abreast of changes in federal rules and regulations.
- Assist the Office of International Programs and Study Abroad with study abroad programming events and sessions.
- Assist with UTEP marketing team with creative designs of all OIPSA-related collateral and materials.
- Serve as a Passport Agent and assist with passport-related events and activities.
- Assist and support with English Language Institute.
- Assist the OIPSA with hosting international quests, including but not limited to delegations, school groups, counselors and other dignitaries.
- Assist and collaborate with OIPSA leadership on compiling data, building reports, and analyzing student and faculty data on the Office of International Programs and Study Abroad.
- Knowledge of all Microsoft Office software and ability to learn and use institutional software systems.
- Strong verbal and written communication and presentation skills. Including the ability to write, and edit with strong attention to detail.
- Performs other related duties as assigned by the leadership of the Office of International Programs and Study Abroad.
