Job Summary:
The Department of Surgery (DOS) is seeking a full-time Research Administrative Coordinator. This position facilitates the administrative components of research grants from preparing funding proposals to tracking expenses and reporting results. This role acts as a liaison between Principal Investigators (PIs) and the grant specialists of the CU School of Medicine Pre-Award Shared Services (PASS) while serving as an administrative and operational resource to the DOS Vice Chair of Research.
Duties: This description is a summary only and describes the general level of work being performed; it is not intended to be all-inclusive. The duties of this position may change from time to time and/or based on business need. We reserve the right to edit duties and responsibilities at the discretion of the supervisor and/or hiring authority.
Research Coordination (50%):
- Partners with PIs to prepare the administrative components of research multi-PI proposals.
- Initiates internal and external application requirements on behalf of PIs for multi-PI grant submissions.
- Compiles and reviews documents for completeness, accuracy, and compliance.
- Interprets sponsor guidelines and provides guidance on required components for grant submissions.
- Serves as point-of-contact between PIs, PASS, and other departments/institutions participating in proposal applications.
- Tracks status of pending awards and agreements to ensure processing in a timely manner.
- Serves as a resource on subject area to PIs and research staff.
- Participates in and contributes to process improvements, as well as group and special projects.
- Coordinate the performing general lab maintenance activities such as signage and organizational activities.
- Coordinates with the lab managers and technicians within the labs of principal investigators in the lab areas to achieve common goals set by the Vice Chair of Research.
- Assist with research reporting and asset management as assigned.
- Manages and reports on shared resources / research equipment inventories.
- Cascades freezer/refrigerator alarm system notifications and other emergency messages when required.
- Assists with organization and coordination of lab activities at a departmental level, in partnership with School of Medicine facilities.
- Duties as assigned by the Vice Chair of Research.
Operational duties (50%):
- Administrative support of space allocations in the research environment.
- May coordinate in a future state on Green Lab initiatives with campus and school of medicine teams.
- EMS activity for research meetings and event planning.
- Works with the School of Medicine Space & Facilities team to coordinate compliance, audits, space inventories, record keeping, badging needs and other duties as assigned for PIs in the Department of Surgery.
- Manages distribution of materials for conferences and lectures.
- Assists with organization of research seminar and educational activities as directed by the Vice Chair of Research.
- Cascades information from facilities and space management to PIs in the Department of Surgery.
- Schedules meetings as requested by the Vice Chair of Research and Director of Operations.
- Assist with developing or develop protocol-specific systems and documents including process flows, training manuals, and Standard Operating Procedures (SOPs).
- Event Coordination for activities and proposals from the executive members of the Office of Research.
- Assists with identifying operational issues within research areas and shares results with leadership.
- Duties as assigned by the Director of Operations
Work Location:
Onsite - this role is expected to work onsite and is located in Aurora, CO. Once fully trained, this position may be eligible for a hybrid schedule (4 days on site with one day remote work).

Minimum Qualifications:
Research Services Entry Professional
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
Research Services Intermediate Professional
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- 1 year of professional level experience within research grant administration or coordination.
Research Services Senior Professional
- A bachelor's degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.
- 2 years of professional level experience within research grant administration or coordination.
- Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.
Applicants must meet minimum qualifications at the time of hire.
Preferred Qualifications:
- Experience in a research environment.
- Research support experience in an academic and/or healthcare environment.
- Experience with grants and knowledge of grant lifecycles.
- Familiarity with CU research resources (e.g., COMIRB, OGC, PASS).
- Knowledge of CU Medicine, UCH and/or University of Colorado policies, rules and regulations, and administrative structure.
- Proficiency in MS Office.
- Experience with laboratory operations such as protocols etc. (specimen storage, collection).

Intermediate Level: $52,312-$66,541
