Job Summary
The role of the Student Office temp is essential to the success of the Housing and Residential Life department here at UM-Flint.

Student Office temp employees are committed to creating the most meaningful housing experience for all residents and guests. By exhibiting excellent customer service skills, attention to detail and thorough follow-through on all tasks assigned, they perform an indispensable role in ensuring the success of the department as whole.

The ideal Student Office temp has the ability to find a balance between being a UM-Flint student and a Student Office temp. Confidentiality, commitment to building community, effective teamwork, professionalism and modeling balanced living are key qualities evidenced.

Responsibilities*
Administrative
  • Maintain office coverage as scheduled
  • Perform routine office work
    • Answer office phone within three rings - correctly route calls to pro staff, other departments within the University, or take detailed messages for pro staff when necessary
    • Acknowledge/Greet everyone that enters the office
    • Provide accurate information to students/guests regarding HRL processes/services, as well as, ancillary departments within the University
    • Daily log in detail all student/guest inquiries, phone calls, walk-in's
    • Operate office machines (printer/copier, fax, etc.)
    • Update multiple HRL calendars
    • Update tracking modules (spreadsheets, google sheets, google docs, etc.) as requested
    • Mail Merge various lists to labels
    • Address/Label various marketing materials
    • Monitor the Housing office supply inventory and prepare supply orders
  • Assist in the check in/check out of residents/guests as necessary
  • Assist residents/guests with maintenance requests/issues
  • Assist residents/guests with access issues
  • Assist with housing tours as necessary
  • Assist vendors with access/questions/issues
  • Assist Facilities with access/questions/issues
  • Assist residents who are locked out
  • Maintain a clean and organized office
  • Keep supervisor informed about concerns, incidents, etc. regarding office operations and other pertinent issues
  • Attend monthly office meetings and 1:1's
  • Know HRL emergency procedures and appropriate situations in which to contact professional staff, RA's on duty & DPS
  • Participate and respond to fire alarm, severe weather, active shooter and other alarms/drills
  • Other duties as assigned

Conference
  • Update conference calendar on a daily basis with guest requests, room assignments and other changes/updates as they occur
  • Proactively assess upcoming conference guest needs and pre-prep by preparing:
    • Key cards (MCard & Onity)
    • Ensuring rooms as assigned are turned and ready for next guest
    • Using checklist to properly document items that have been completed in each room
    • Performing a light cleaning of each room (notifying if room needs a deep clean)
    • Hanging/Replacing shower curtain, if necessary
    • Monitoring supplies and providing updates to conference administrator of low supplies
    • Reporting maintenance issues - entering work orders in a timely fashion
    • Placing linens and making beds
  • Assist conference administrators with check in/check out processes
  • Keeping linens and supplies organized in both the HRL office and in the basement
  • Placing dirty linens in bags as provided
  • Post-conference, staff members will assess damages, clean rooms and remove trash and linens from rooms

Required Qualifications*
Required Qualifications
  • Be enrolled at UM-Flint
  • Be available to work a minimum of 10 hours per week
  • Have a minimum cumulative GPA of 2.5 at the time of hire, and maintain a 2.5 GPA while employed. GPA will be monitored throughout employment.
  • Be in good social standing with the University as defined by the Student Code of Conduct and maintain good social standing during employment by following the Community Living Standards at UM-Flint and the Student Code of Conduct
  • Previous customer service experience
  • Excellent attendance record
  • Ability to multi-task while exhibiting a positive, customer-focused, attitude
  • Ability to manage stress and to adapt quickly to an ever-changing workload within a busy office
  • Ability to maintain strict confidentiality inside and outside the office
  • Ability to move about freely e.g. making beds, cleaning rooms, escorting guests around campus
  • Ability to lift 15-20 lbs

Desired Qualifications
  • Previous experience as a residential student
