Responsibilities*
Enrollment Management
  • Manage enrollment for three IGR courses, one of which has twelve sections with approximately 130-170 students, and independent studies, including working with LSA to ensure course guide information is up to date, issuing class permissions, corresponding with students, and monitoring/reporting on registration numbers
  • Work with LSA database analyst to manage, develop, and update web-based application system/database for dialogue, training, and practicum courses
  • Place dialogue students into course sections and create final section rosters
  • Coordinate training course application process by preparing and distributing course application, tracking applications, scheduling interviews, and notifying students of admission decision
  • Prepare and distribute practicum applications to training class and create/maintain roster after instructions determine facilitator pairs and topic assignments
  • Archive and manage access to student demographic information

Instructional and Facilitator Support
  • Support teaching teams and undergraduate facilitators by preparing weekly copies/materials, creating e-mail groups, ordering food for student retreats, and coordinating classrooms, audio/visual equipment, and media when applicable for approximately 130-170 students
  • Procure and maintain general course related supplies (nametags, notecards, flipchart, markers, etc.)
  • Create, organize, and manage course C-tools sites, including making course readings available electronically through UM Library resources or scanning
  • Support curriculum committee under the direction of the curriculum chair by gathering information, compiling spreadsheets, and updating syllabi, process-content outlines, instructor manuals, course logistics documents, handouts, exercises, and activities as necessary
  • Order, download, and distribute final teaching course evaluations for IGR courses to instructors and GSIs

Library Collection Management
  • Manage item circulation by assisting patrons, checking in/out books, sending out overdue notices
  • Purchase items in response to patron's needs, label/bind materials for cataloging, and coordinate with UM Library system to list new items in the MIRLYN catalogue
  • Organize, maintain, and assist patrons in accessing program catalogue of handouts, exercises, and activities
  • Conduct 1-2 yearly inventory(s) of library collection and update internal database of holdings

Administrative-Office Support
  • Provide secondary office coverage through answering main phone line (when necessary), reception, scheduling conference rooms, assisting staff, and monitoring resource area
  • Serve on internal IGR special project committees and workgroups as necessary
  • Maintain organization of electronic files (M-Drive/I-Drive), equipment, resources and space
  • Purchase items in response to office needs
  • Management of IGR Community Announcements
  • Respond to resource requests
  • Manage access to IGR research IFS space

Program Course Recruitment and Marketing
  • Represent and distribute IGR materials at Information table / recruitment events
  • Work with supervisor and marketing specialist to develop and implement program marketing strategy
  • Work with supervisor and graduate intern(s) to develop and implement course recruitment strategy
  • Coordinate and implement updates to the IGR website, in coordination with marketing specialist and TechServices when necessary
  • Solicit facilitator training nominations from IGR staff, current facilitators, and other university faculty/staff

Dissemination and Outreach Support

Institute Coordination
  • Advertise and recruit for the National Intergroup Dialogue Institute through preparing and distributing print and electronic marketing materials, keeping the Institute webpage up to date, and soliciting invitees
  • Coordinate Institute registrations and payments with conference services
  • Coordinate event logistics with the conference site location and supervise logistics onsite during the Institute
  • Procure and prepare materials (binders, program resources, giveaways, etc.)
  • Assist with composing final institute report
  • Other Dissemination and Outreach Support
  • Provide clerical support for IGR's outreach, dissemination, and inreach work, as necessary

Intergroup Relations Education Minor Support
  • Field initial inquiries and questions about the IGR Minor, providing information or forwarding messages as necessary- graduate student intern first /PA as needed
  • Process declarations and Minor Peer Advising Appointment notes and comments
  • Access and input information as necessary to the LSA Student Academic Advising File

Office Assistant/Work Study Supervision
  • Supervise three work-study students (8-10 hrs/wk) on course and Minor support, marketing, and library support tasks
  • Interview, hire, and train office assistant/work-study students
  • Organize semester schedules for office assistants; verify and comment on reported work-study hours via Wolverine Access
  • Develop and update office assistant manual, job description, and reference guides
  • Coordinate office assistant projects and tasks, including facilitating hand-offs of tasks and projects from IGR staff and faculty
  • Plan and facilitate monthly group office assistant meetings, and once-a-semester one-on-ones

Required Qualifications*
A high school diploma. At least 2-4 years of experience working in an academic or student services department.

Desired Qualifications*
  • Bachelor's Degree highly preferred in Psychology, Sociology, Political Science, Education, Social Work or a related field
  • Knowledge of University policies and procedures related to Student Affairs.
  • Understanding and commitment to intergroup and social justice education and student development
  • Experience in administrative support duties
