Job Summary
Simmons University is looking for an Operations Specialist to join the IfIll College of Arts, Media and Humanities (College). Reporting to the Director of Operations, the Operations Specialist will be responsible for the management and optimization of operational functions within the College's academic units. From data and budget management, to overseeing faculty employment, to reviewing workload processes and procedures, to course scheduling, as well as to managing reporting functions for the Office of the Dean, the Operations Specialist will play a critical role in supporting Department Chairs and Program Directors of the College.

Responsibilities:

Data Management
  • Develop and implement data management best practices for the Department Chairs/Program Directors within the College;
  • Oversee faculty status, workload, and scheduling;
  • Manage database of adjunct teaching information (deployment, utilization, evaluations);
  • Manage and report on enrollment statistics on majors, minors, and other key program activities and initiatives;
  • Deliver annual and/or semester based reports assisting and informing Department Chairs/Programs for regular analysis and ensuring data integrity;
  • Manage course evaluation and appropriate assessment recommendations;

Budget Management
  • Develop, manage to, and monitor department(s) budget responsibilities;
  • Assist with budget planning and submission process;
  • Oversee timely invoice and expense management in collaboration with University's accounting department;
  • Oversee budgeting for student worker program;

Operations Management
  • Work collaboratively and Liaison with the Offices of the Registrar, Institutional Research and Human Resources;
  • Support faculty searches; submit job postings, managing applicant files and materials ;
  • Support faculty review processes; manage dossier submission and review stages;
  • Support course scheduling;
  • Manage faculty appointment letters and records;
  • Manage vendor contracts on an as needed basis;

Qualifications
  • Bachelor's degree or equivalent work experience required;
  • Minimum of 3 years of professional work experience, preferably in an operations function;
  • Prior experience in higher education academic administration preferred;
  • Exceptional planning and organizational skills, and proven experience taking initiative and having ownership of projects;
  • Excellent working knowledge of MS Excel (specifically, advanced formulas, pivot tables and charts);
  • Excellent communication, analytical thinking, and problem solving abilities;
  • Proven ability to perform duties with a high level of professionalism, flexibility; discretion, judgment, diplomacy and tact;
  • Ability to multi-task, adapt to changing priorities, and meet deadlines;
  • Experience with budgetary responsibilities a plus;
  • Knowledge of Tableau, Adobe Suite, Workday and/or other data management software;
  • Ability to work well with culturally diverse populations within an organization.
