Job Summary
The Occupational Therapy (OT) Department is seeking to hire an Administrative Assistant Senior for Fall 2019.

The OTD program is a professional (or clinical) doctorate, which is the highest level of academic preparation that an entry-level occupational therapist can obtain. Our program preparation for the entry-level OTD exceeds that of an entry-level master's degree. Being on the forefront of this professional movement allows our students to be among the most coveted graduates regionally and nationally. The proposed start date for the Doctorate of Occupational Therapy program is Fall 2019.

Responsibilities*
Department Admissions Support, 40%:
  • Oversee the OT admission process
  • Initial contact for department for current/future students regarding admission processes
  • Process admission applications in a timely fashion for the Occupational Therapy program
  • Organize and maintain admission files in OTCAS systems
  • Communicate with program applicants throughout the application process
  • Work with Graduate Programs to coordinate admissions
  • Assist other staff with setting up admission interviews
  • Provide support as needed for student orientation
  • Attend recruiting functions as needed

Administrative Office Duties, 60%:
  • Responsible for opening and closing the office
  • Managing phone coverage, walk-in visitors, scheduling department committees and task force meetings assigned
  • Organize and maintain reserved reading files, audiovisual and library inventory as well as electronic address files for faculty, students and guest lecturers
  • Prepare bulk mailings and provide photocopying services
  • Serve on department committees as assigned
  • Attend department staff meetings at the request of department director/office manager and take notes as assigned
  • Create, post, and distribute room use schedules
  • Assist in hosting events as assigned
  • Maintain various email groups, electronic inventory and classroom supplies
  • Monitor and maintain database for faculty licenses and certifications
  • Assist students with procedures of the department and the University
  • Monitor delinquent return of supplies
  • Organize and record detailed student attendance records and report monthly
  • Distribute registration and textbook information to students each semester
  • Assign students and maintain information related to lab duties and lockers
  • Provide limited clerical support to faculty
  • Distribute course evaluations each semester, compile and report student comments
  • Monitor and order textbooks, prepare textook report as directed
  • Provide Coursepack coordination
  • Maintain office supplies and order as needed
  • Assist in resolution of program/department operating problems
  • Serve as backup to other departmental staff as directed by department director/office manager
  • Other duties/responsibilities as assigned

Required Qualifications*
  • Bachelor's degree or equivalent combination of experience with a minimum of 4 years of progressively responsible administrative experience
  • Experience with computer programs, such as: Microsoft Word, Excel, PowerPoint and/or Access
  • Interest in and ability to learn new software applications such as OTCAS/WebAdmit, WebFocus, WebNow, ImageNow, Qualtrics, EMS, Acalog, Banner, EMAS, Wolverine Access
  • Excellent oral and written communication skills, high-level of critical thinking ability, strong organizational skills and interpersonal skills.
  • Ability to work independently and make decisions, exercise initiative, and function in a dynamic, fast-paced environment; work in a team environment and exhibit a positive attitude and a courteous and professional demeanor.
  • Ability to set priorities, multi-task, meet deadlines with attention to detail and take ownership of job responsibilities
  • Good attendance record and strong work ethic
  • Service-oriented and have a positive attitude

Desired Qualifications*
  • Experience in a graduate level academic setting is preferred
  • Prior experience working in higher administration admissions
  • Familiar with OTCAS software program
  • Possesses advanced technological expertise
