Library Annex Coordinator


The University of Notre Dame (ND.jobs) is accepting applications for a Library Annex Coordinator.

Working independently and following departmental guidelines under the general supervision of Frontline Services, the Library Annex Coordinator is responsible for managing the daily operations of a high density shelving facility with an emphasis on retrieval and transportation of material to and from the facility; logistics and planning of workflows; coordinating facility and equipment maintenance; and training staff on work procedures. The position requires advanced problem-solving skills, an attention to detail, and the ability to work with various library units on a regular basis. This person will help continue to ingest material either at Hesburgh or in the Annex facility.
Due to the many areas of responsibility at the facility, the individual in this position will serve as a functional-area work leader.
Job responsibilities include:

  • Retrieve, file, process and access ALEPH, ILLiad and IMS systems to collect information for retrievals, scan requests and refiles. Create a pick list for retrieval and scan requests. Use scanner to scan articles or portions of materials and make them available to requestor electronically. Enter data by using barcode scanner, computer and IMS systems to associate books to book tray to book shelf and load information into the IMS.



  • Import new material and refile by unloading full totes of books, assemble book trays and apply tray I.D. labels, sort books by size and fill appropriately-sized book trays. Operate a lift truck potentially up to 17 feet at the highest level, for placement of filled book trays, and retrieve items requested for circulation or scanning then re-file items returned to the collection. Drive vehicle to and from Hesburgh Libraries and other locations as needed. Loads and unloads totes containing books and other library material.



  • Work with Facilities, University Services, other campus departments and a variety of outside contractors to coordinate building management services and to keep equipment, property and building in prime condition. Supervise the ongoing maintenance of physical security for the facility by monitoring the environmental controls of the interior heating, ventilating and air conditioning operations of the storage module to ensure the preservation of its contents.



Minimum Qualifications:
  • Associates degree or up to 3 years of college or technical school
  • 1 2 years experience
  • Excellent organizational and analytical skills
  • Ability to develop and implement policies and procedures and to identify the need for changes to existing policies and procedures
  • A strong commitment to library services
  • Familiarity with digital scanning equipment, proficient in the use of technology (Microsoft, Google, library catalog, etc.) and has the ability to logically solve basic technical issues
  • Ability to work with a diverse group of people
  • Valid drivers license with verifiable clean driving record
  • Must pass, and maintain, certification for use of a mechanical lift


Preferred Qualifications:
  • Bachelors degree or the equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Library experience with automated systems and library catalogs desirable.
  • Familiarity with inventory control software helpful.
