Detailed Description:

The Grants & Contract Accountant is completely responsible for the accounting and post-award administration of the University's portfolio of private and governmental grants and contracts. This includes, but is not limited to, internal and external financial reporting for monthly, annual, and other periodic reporting deadlines. They are also responsible for the review and interpretation of legal agreements and contracts, and the University's consistent compliance thereto, with respect to financial reporting matters. The Grants & Contact Accountant prepares a variety of financial analyses and forecasts used in decision making by senior administrators. Strong emphasis is placed on this person's ability to work independently in the completion of his/her assigned responsibilities. This position interacts with all levels of faculty, administrators and staff on a regular basis. The Grants & Contract Accountant shall work independently with general supervision from the Assistant Controller. This position shall take responsibility for prioritizing his/her own workload such that all assigned projects are consistently completed.

Job Duties:
  • Responsible for all accounting matters for the University's grants and contracts portfolio with an estimated fund balance of approximately $20 million. Accounting includes, but is not limited to, the preparation of financial reports, journal entries, budget appropriations, detailed schedules and account reconciliations.
  • Reviews and interprets legal agreements binding the University to ensure our compliance thereto as those agreements relate to financial reporting. Compiles and summarizes all reporting and other financial matters documented in these legal agreements to ensure timely compliance.
  • Responsible for timely and accurate internal and external financial reporting for all grants and contracts on a periodic basis. Responsible for updating and maintaining an Excel spreadsheet detailing all existing reporting requirements and their associated deadlines.
  • Prepares invoices and billings to federal and private agencies for grants and contracts in accordance with legal agreement terms. Reviews invoices and billings from subrecipients for reasonableness and compliance to agreements.
  • Prepares budgets, financial forecasts and other detailed calculations as they relate to the University's grants funds. Assists management in the completion of indirect cost projections.
  • Provides all grants fund support to external auditing firm in support of the University's annual audit. Serves as the primary contact to the external auditing firm in the conduct of the annual audit for compliance to the Office of Management & Budget, Uniform Guidance federal regulations.
  • Responsible for maintaining the grants fund Chart of Accounts which includes the establishment of new accounts and the closure of inactive accounts on a timely basis.
  • Serves as the accounting liaison to the Office of Sponsored Programs and provides complete, accurate, and timely customer service to them and the University's faculty and administration. Provides proactive as well as problem-solving services to the customer base in an independent manner with minimal supervision.
  • Recommends, implements and maintains policies and procedures ensuring compliance to internal controls, generally accepted accounting and governmental cost principles, and federal/state/local laws. Reviews and monitors disbursements and budget changes to ensure compliance to policies and laws.


Job Requirements:

Minimum Qualifications:
  • Bachelors degree in accounting or business administration, or the equivalent experience, preferably in a higher education financial setting.
  • Independent thinker and analytical problem solver.
  • Proficient with Microsoft Excel and Word.
  • Demonstrated ability to organize and prioritize tasks with a strong use of initiative and precise attention to financial detail.
  • Demonstrated ability to meet deadlines and manage time effectively with the highest degree of accuracy, while working in an environment of fluctuating priorities and frequent interruptions.
  • Excellent interpersonal skills with the ability to interact in a positive, professional and courteous manner.

Preferred Qualifications:
  • Experience working in a higher education grants accounting, general accounting, or other financial environment highly preferred.


Performance Expectations: Knowledge, Skills and Abilities:
  • Ability to comprehend and analyze legal contracts as they relate to the Universitys financial responsibilities is required.
  • Ability to use mathematical and analytical skills to a high degree of accuracy required.
  • Ability to recognize problematic issues and resolve them through self-correction and/or self-resourcefulness.
  • Experience with automated spreadsheets and other computerized software required.
  • Ability to prioritize a demanding workload in a fast-pace environment required.
  • Knowledge of generally accepted accounting principles and fund accounting principles highly preferred.
  • Demonstrated skills in both written and oral communication to effectively interact with varying customer personalities required.

Posting Salary:

Rate: $23.29 - $25.88 per hour; Excellent Benefits.
