Position Description:

PURPOSE:

Under the general direction of the Associate Vice President for Academic Programs and Dean, University College and Graduate Studies, the Associate Dean for Advising, Career and Student Success is responsible for providing leadership and management of programs and services of the Center for Advising, Career, and Student Success (CACSS), as well as coordination of associated services with offices across the campus, thereby ensuring University-wide compliance with policies and processes, including the refinement of business processes in collaboration with University partners to support student and employee success. The Associate Dean is a key partner in designing, implementing, and assessing efforts related to the CSUMB Otter Promise, in support of student success goals. The incumbent must have a clear understanding of advising, retention, and student support services as an integral part of the University's mission.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Provides strong, dynamic academic and administrative leadership that fosters a collegial environment. Provides overall direction and leadership for the Center for Advising, Career, and Student Success and facilitates collaboration with other University units in advising and retention services generally.
  • Establishes and facilitates CACSS department goals and objectives that will enhance the effectiveness and integration of services to students in the areas of academic advising, career advising, and retention services.
  • In collaboration with University College units, International Programs, Library, Colleges, Student Affairs, Enrollment Services, and Administration and Finance, University Communications, and community college partners, designs, implements, and sustains efforts in support of University-wide efforts to improve policy, process, and outcomes for students.
  • Leads establishment and assessment of a Transfer Success department within CACSS in cooperation with Academic and Student Affairs units and community college partners. Leads and manages Transfer Success department, including budgetary needs and ensuring responsiveness to student and partner needs.
  • Ensures the implementation and support for a comprehensive assessment plan to gauge the impact of programs and services provided by the CACSS. Compiles reports detailing relevant and useful findings from research and analysis of internal and external data, and makes recommendations for continuous improvement of advising and student success initiatives.
  • Develops the CACSS' budget plan and manages the department's financial resources.
  • Ensures efficient and effective communication of information related to advising and other student services matters throughout the University.
  • Provides leadership with programs and other initiatives related to the Graduation Initiative with advising, career, and/or student success implications.
  • Collaborates with College Deans, Associate Deans, and chairs to ensure high-quality, consistent advising in all areas of focus within the Center.
  • Maintains and supports positive collaborations with Enrollment Services and Student Affairs units.
  • Collaborates with campus partners in grant and external funding opportunities.
  • Provides administrative oversight for work of the Associate Director for CACSS, the unit coordinators, and Center advisors.
  • In consultation with the Dean, assists with strategic planning and provides leadership for college-wide initiatives aligned with the College's Mission and Vision.
  • Acts as Administrator-in-charge for Academic Programs, University College, and Graduate Studies in absence of the Associate Vice President and Dean.
  • Provides oversight for the management of existing office and meeting space for CACSS, and assists the Dean in planning for renovated and/or new facilities.
  • Represents the Dean and contributes professional expertise to University and ad-hoc committees as assigned.
  • Performs other job-related duties and special projects as assigned.


Knowledge, Skills and Abilities:
Knowledge: A passion for working with students. Strong client services focus. Demonstrated comprehensive knowledge of developmental and appreciative academic advising, career advising and retention services. General knowledge of student information systems and ability to learn specifically the Oracle/PeopleSoft or Common Management System. Familiarity with CSUMBs academic programs, procedures and policies and Chancellors Office reporting requirements. Knowledge of Californias community college system, the California Education Code (Title 5) and intersegmental-transfer agreements in California higher education.

Skills: communication, project management. Strong oral and written communication; problem solving and conflict resolution; complex budget management. Statistical and research methods.br>

Ability to: identify opportunities; provide sound recommendations based on state or institutional policy; work closely with faculty members and academic programs across the university; work and manage in a manner that is highly collaborative and supportive; handle and coordinate multiple tasks, projects, and deadlines; establish and maintain effective working relationships within a diverse, academic environment; carry out a variety of professionally complex assignments without detailed instructions; to work collaboratively across departments and divisions to provide maximum assistance to students and efficacy of process and assessment; plan and conduct workshops, organize special events or activities, and make effective presentations before groups; hire, train, and supervise administrators and staff, including students; maintain confidentiality and appropriately handle sensitive communications with students, employees and external agencies.


Minimum Qualifications:
Terminal Degree and three (3) years of experience in progressive responsibilities supervising academic advising services or retention services in a post-secondary educational institution. Direct experience planning and managing program budgets.

Specialized Skills:


Preferred Qualifications:
Doctorate, especially in a related field (e.g. counseling, college student personnel, higher education, human development, etc.). Experience in academic advising as advisor or supervisor. Experience collaborating across University units. Knowledge of Californias community college system, the California Education Code (Title 5) and intersegmental-transfer agreements in California higher education. A record of success in developing strategic partnerships with a wide variety of constituents (students, parents, faculty, staff, alumni, and employers) and managing major initiatives from development to implementation. Excellent interpersonal, communication, presentation and leadership skills. Must have a passion for working with students. Experience working successfully with a diverse and multicultural student population. Proficient in the use of student information systems, office software programs, such as MS Word, Excel, PowerPoint, internet browsers, Google (email and calendar) or equivalent.

  • This position is designated as a Campus Security Authority, will be required to participate in annual training, and to immediately forward to University Police all reports of Clery Act crimes brought to their attention.
  • This position may require occasional evenings and/or weekend work.

PHYSICAL ENVIRONMENT:

Office environment with standard equipment and tasks. Position requires working at a computer/video display terminal and desk for extended periods of time. May require travel between campus offices and off-campus locations.
