About the Opportunity:
The Administrative Assistant provides office support and customer service for the Office of Undergraduate Admission, along with administrative support for leadership team within the office. The types of support may include but will not be limited to calendar assistance, coordinating travel itineraries, creating agendas, note taking, expense reports, and additional project support. The Administrative Assistant will provide support for our other functional teams within the unit with assistance that could include some event planning and data entry. The Administrative Assistant also provides support and receives assignments from other Admissions management team members in support of the admission process.

This role requires strong knowledge of Department and University policies and procedures. This knowledge will be applied in delivering significant customer service functions including visitor reception, phone and email coverage, and responding to admissions status-related inquiries by prospective students, their families and secondary school counselors and identifying when to appropriately escalate inquiries to management and assists in researching and responding to escalated issues.

Responsibilities:
The Administrative Assistant provides secondary reception coverage and front-line customer service for the Office of Undergraduate Admission. They will be the first point of contact for many guests who contact or visit the office, including prospective students, applicants, parents, secondary school counselors, colleagues from other offices, or the President of the University. Their goal is to help the office remain fully functional, which can range from greeting guests, maintaining and scheduling the conference rooms, working closely with our AV technician, as well as keeping all of our various supply closets inventoried and stocked.

The person who will be successful in this role will have attention to detail, follow-through on tasks, be able to manage up to the leadership team and their manager, prioritize and seek feedback when deadlines are unclear, demonstrate flexibility, and be able to think on their feet. The Administrative Assistant must be able to effectively communicate to a wide range of internal and external constituents. The successful candidate will be energized by being a key player in keeping the daily operations of a 40+ person office running and will be able to anticipate needs for the team to make operations run smoothly. In this fast-paced office environment, there will be competing priorities that the Administrative Assistant will need to jump in and out of, so coming in with organization and time management tactics in place is a must.

The Office of Undergraduate Admission serves nearly 70,000 applicants and 100,000 visitors annually. The Administrative Assistant will be a key member of this high-energy team. Willingness to be a team player and support the work of enrolling students are key traits for the successful candidate in this role.

Qualifications:
Two years of college or Associates Degree required. Bachelor's degree preferred. Minimum of 1-3 years of progressively responsible administrative support, preferably in a professional or college/university setting. Prior experience with customer service, communications, and administrative support preferred. Strong computer skills and written skills necessary (Microsoft suite, especially Outlook and its calendaring program), and experience with Apple products preferred.
