Position Information
Under general supervision of the UC MEXUS Director of Administration, the Administrative Assistant will provide administrative support to UC MEXUS and the Director, represent UC MEXUS, and respond to requests and questions from prominent members of the community, international visitors, executives, and the University community, requiring a thorough understanding of the institute, and its function and philosophy. This position has a direct influence on the first impression and reputation of the department, and must be poised, tactful, and gracious as well as exhibit excellent work habits. The incumbent must be able to work under the pressure of constantly changing priorities, unanticipated urgent demands.

The Administrative Assistant serves as the primary transactor for processing of various on-line orders, i.e. travel, purchasing, etc. The incumbent serves as iTravel coordinator to secure arrangements for both domestic and foreign travel and process reimbursements and as the Institute's event coordinator, encompassing all areas of event coordination, including contracting with outside agencies for catering, travel, facilities, printers, etc.

The incumbent must be bilingual at a professional level in both English and Spanish. Must speak, read, and write in Spanish as many duties require the incumbent to interpret correspondence in both Spanish and English. Must be able to travel, including to Mexico, and work evenings and weekends as required by the schedule of events.


Minimum Requirements
1. Bilingual in both English and Spanish. Must speak, read, and write in Spanish.
2. High School diploma or GED and 2 years of administrative experience working in an office environment to provide support to staff, managerial and outside scholars. Working knowledge of administrative procedures and processes including word processing, spreadsheet and database applications.
3. Experience, skill and ability to utilize a personal computer for completing automated forms and programs for various on-line and stand-alone software programs.
4. Excellent interpersonal, oral and written communication skills.
5. Experience in event planning and production, preferably in a University setting. Knowledge of catering, facilities, aesthetic creativity and logistics to engage audience, technical knowledge, including sound, lighting, and projections systems.
6. Demonstrated ability to prioritize and handle multiple projects simultaneously.
7. Requires verbal and written communication skills, active listening, critical thinking, multi-tasking and time management skills.
8. Ability to maintain a positive attitude during stressful situations.
9. Experience in an academic setting or research institute.
10. Skill in managing sensitive and confidential information regarding bargaining unit issues.


Preferred Qualifications
1. Skill in making appropriate job decisions following established policies and post practices.
2. Skill in accurate record keeping with strict attention to detail.
3. Skill in independently researching questions and making appropriate contacts for problem solving.
4. Skill in coordinating administrative activities by determining the time, place, and sequence of actions to be taken.
