Accounting Technician III

Salary
Anticipated Hiring Salary: $3,426 per month

Note: This is a full-time (equivalent to 40 hours per week), probationary, non-exempt position.

Overview
The University Controller/Accounting Services Office is dedicated to facilitating the primary mission of the University by seeking the most cost-effective methods of delivering services while continuing to implement improvement of services to students, faculty, staff and all other customers.

This position reports directly to the Assistant Controller and is a member of Accounting Services. Accounting Services is under the Division of Administrative Services which reports to the Vice President of Administration. Positions in this classification require a comprehensive knowledge of financial record-keeping methods, procedures, and practices, and a basic knowledge of Generally Accepted Accounting Principles (GAAP). May provide technical and/or work direction to other employees.

This position performs a wide variety of duties requiring considerable judgment, initiative, and independence. Incumbents in this classification devise new methods, modify and document established procedures based on precedent and university policies and develop new procedures as necessary; work with subject matter requiring technical expertise; and resolve difficult and unusual problems.

Position Summary
  • Use independent judgment and initiative in organizing and determining the priority, methods, scope, format, staff and actions necessary to perform and complete assigned job duties
  • Serve as the Customer Service Liaison with Admissions, Records, Enrollment Services, Continuing Global Education, Financial Aid, other campus departments, external agencies and businesses, and all areas within Accounting Services. Establish and maintain working relationships with others within and outside of Accounting Services as job duties require.
  • Participate in staff training and read information and materials to stay current on knowledge necessary to perform job duties effectively and efficiently. Understand and interpret University policies, regulations explain and apply them as assigned duties require. Review documents for accuracy, completeness, validity, and adherence to standards.
  • Coordinate, train and provide direction to the staff assigned to the front desk, cashiering, all the student assistants and other customer service functional areas
  • Greet customers, answer phones, assist with resolving customer complaints and with upset customers by attempting to diffuse, resolve or reduce their frustration level. Document student calls, in person encounters and track metrics.
  • Respond to customer in-person inquires, phone calls and emails regarding their account, billing, refund, BankMobile, 1098-T, direct deposit, other Accounting Services related inquires and /or direct them to the appropriate resource.
  • Coordinate and prepare the student assistants' assignments and monthly work schedules
  • Track student assistant's attendance daily, verify the payroll time entered by the student assistants, resolve discrepancies, and approve the student assistant's payroll time.
  • Coordinate and monitor the ACD phone system and department listserv to ensure all calls and emails are answered accurately and timely. Document student calls, emails, and track metrics.
  • Prepare, calculate, and issue student refunds via automated and manual processes
  • Coordinate and maintain student communication plans (website, catalog content, office closures, emails, text messages, create standard email and phone responses to common questions, etc.,) Document student encounters and track metrics.
  • Compile analyze and interpret student account transactions while ensuring accuracy and provide the data to the authorized and appropriate person(s). Prepare forms and create reports to answer audit other inquiries
  • Develop procedures and/or recommend procedural changes and create/update forms, reports, and comprehensive business process guides
  • Coordinate and monitor sponsor's contract receivables, payments, and collections
  • Perform assigned reconciliations, accounting, and cashiering duties
  • Provide support to Accounting Services for various projects
  • Create and update Microsoft Excel spread sheets and Microsoft Word documents, which may require advance knowledge in the use of these software applications
  • Maintain strict confidentiality of all information
  • Coordinate office purchasing, maintain and organize an adequate supplies inventory to meet Accounting Services' needs. Coordinate equipment maintenance and repairs.
  • Coordinate and organize files and document scanning
  • Work overtime as needed during payment periods and other peak periods, including weekends. Provide backup support and/or assume other work assignments, within Accounting Services, as assigned, during absences, periods of increased workload, or reassignment of duties to meet department needs.

    Knowledge, Skills & Abilities
  • Comprehensive knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices.
  • Basic knowledge of Generally Accepted Accounting Principles (GAAP)
  • Proficient in the use of Microsoft Word, Excel, PC internet and email.
  • Knowledge of FERPA regulations
  • Demonstrated ability to:
    o Communicate information, verbally and in writing, that is organized, clear, accurate and concise

    o Devise new methods and develop new procedures as necessary

    o Review web pages and make recommendations for updates
    o Lead and train student assistants and direct the work of staff
    o Use initiative and judgment in analyzing information and determining course of action within the specifications of standard practice and established guidelines
    o Work extended hours during peak periods (registration, payment deadlines, etc.)
    o Work independently and collaboratively in a team environment
  • A history of regular attendance and positive performance appraisals

    Education and Experience
  • Any combination of education and experience which provides the required knowledge and abilities.
  • Equivalent to four years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities.
  • Experience working with integrated electronic systems and/or other types of records management systems, such as PeopleSoft Financials, Student Financials, CashNet, and Data Warehouse.
  • Experience preparing reports, spreadsheets, and reconciliations.
  • Customer service experience.
  • Demonstrated ability to understand and interpret university policies and regulations for students, faculty, staff and the general public.

    Preferred Skills
  • Working knowledge of California Code Regulations for Refund of Fees (Title V), Executive Orders, Chancellor's Office, campus, and other department policies pertaining to student fees and regulations.
  • Working knowledge of databases and reporting.
