Academic Space Specialist


The University of Notre Dame (ND.jobs) is accepting applications for a Academic Space Specialist.

This is an administrative position that reports to the Facilities and Academic Space Program Director. Under the direction of the program director this position helps manage facilities and academic space related projects for the College. This position has two primary areas of responsibility: administering several of the functional processes within the Arts and Letters buildings such as the allocation, assignment and management of faculty offices and to coordinate and manage select end-to-end renovation projects within these same buildings. This position is responsible for delivering a professional level of service through coordinating efforts of multiple campus departments and off-campus vendors. This position is a member of the Dean's Office staff team but will likely be located in several of the buildings assigned to the College.
Manage and lead the office allocation process for approximately 590 Arts and Letters faculty and 300 graduate students. This includes the 80+ annual moves of incoming faculty, departing faculty, office address relocations, emeriti transfers and moves home for retiring faculty.
Coordinate daily operations of 19 College buildings including maintenance, moves, phone, computer, and surplus accommodations. Maintain specialized shared College-Wide database tracking over 590 faculty offices, 300 graduate student work spaces, the space allocation of the College centers, institutes and journals. Responsible for ensuring that this data is accurate and updated in a timely manner. Develop, move and maintenance processes and policies for offices, centers, laboratories, and journals that utilize the information contained in the database.
Manage select renovation/construction projects within the 19 AL buildings including communicating and adhering to the project timeline.
As assigned, manage and allocate resources to execute select departmental moves to on and off-campus locations. Estimate funds needed, create timelines and utilize checklists to ensure professional and efficient project completion. Communicate these details to faculty, staff, and end-users of spaces.
In collaboration with Program Directorinterview, hire, train, and provide hands on supervision of temporary summer staff. Determine when and provide on-site supervision when needed. Manage scheduling to provide an efficient use of staffing throughout the summer months.

Minimum Qualifications:
Bachelors degree ( 4 years) Ability to walk to other Arts & Letters occupied buildings Occasional moving of small office items (15 20lbs)

Preferred Qualifications:
Project Management/Project Coordination experience or the ability to quickly learn and implement project management skills. Ability to professionally interact with multiple entities on campusfaculty, staff, students, architects, contractors, maintenance personnel.
