Position Information
As a member of the Global Engagement Office (GEO) team at UCR Extension International Education Programs (IEP), and reporting to the Senior Director, GEO, the Office Coordinator provides office coordination and administrative support to the GEO team. The Coordinator frequently interacts with international agents and partners requiring intercultural competence, awareness, sensitivity, and skill in communication. Performs agent contract management, including working through complex conflicts with agents explaining business processes with intercultural competence, especially when there are language differences. Serves as a resource for information to potential and existing students, agents and partners. Supports international recruitment activities, providing data analysis, reporting and maintenance. Responsible for inventory management of marketing collateral and gifts, vendor relationship management for international gifts and overnight shipping, and maintenance of the departmental master calendar for 25 academic programs. Additionally, the Office Coordinator provides administrative support around highly detailed data entry for meaningful report generation, file system development and maintenance, and international guest relations. The Office Coordinator also provides backup assistance to the department and other administrative assistants in the department as needed.


Minimum Requirements
Three (3) years experience providing administrative support and/or coordinating administrative activities in an international environment. Skill in determining the time, place, and sequence of actions to be taken. Demonstrated ability to be solution-focused and manage the resolution of concerns or complaints.

Experience working in a diverse environment including social, cultural, economic and educational backgrounds.

Effective and professional communication skills, both orally and in writing. Demonstrated ability to foster collaborative working relationships and maintain cooperative working relationships with co-workers in a team environment.

Experience performing contract execution and maintenance.

Experience in independently composing letters, memos, reports, and other written communication materials with sensitivity to audience diversity using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills. Skill in accurate record keeping with strict attention to detail.

Demonstrated ability to work effectively with intercultural sensitivity in a service environment that is subject to frequent interruptions. Self-awareness of one's own cultural identity and views about difference, and the ability to learn and build understanding of the varying cultural norms of international agents and partners. Ability to express ideas clearly and convincingly.

Demonstrated computer proficiency using Microsoft Office (Word, Excel, PowerPoint), e-mail messaging, and web-based software applications.

Ability to working independently and follow through on assignments with minimal direction. Skill in setting priorities.

Demonstrated track record of creating remarkable customer care experiences, including skill in identifying the customers perspective and maintaining a commitment to excellence in customer service. Ability to listen, anticipate, and respond to the needs of customers to achieve excellent customer service.

Ability to anticipate the needs of and respond to situations with flexibility and interact with a professional and welcoming demeanor to international partners, agents, community partners, visitors and perspective clients and students.

Ability to adapt to changing business needs, conditions and work responsibilities in a high volume environment. Ability to respond and remain flexible around changing priorities, fluctuating workloads and constant succession of inquiries.


Preferred Qualifications
Advanced skill in Microsoft Excel.

Work experience in an educational institution at the post-secondary level.

Knowledge of the applicable federal and state regulations governing areas related to the responsibilities of the position including the Family Educational Rights and Privacy Act (FERPA).

Experience with Destiny One and Salesforce software platforms.
Demonstrated experience using an online student information system.

Fluency in additional language(s).
